Making AI Work for Us: Our Otter.ai Experiment & What’s Next! Last week, shilo. we gave Otter.ai a go, and to be honest—it felt a bit strange at first having an AI notetaker in our meetings. But once we got past that, the benefits were pretty clear. More Focus, Less Notetaking – We could actually stay in the conversation, and not worry too much about capturing everything. We had a few reflections on some funny parts of our conversation, and how these would be captured and recorded for all time! We all still took notes, it will take a while for old habits to shift but this feels like a start. Real-Time & Post-Meeting Insights – We can control which meetings Otter joins, share notes instantly, and go back later for key themes and action points. It was interesting asking Otter to summarise and interrogate the meetings, not just for actions and decisions, but also themes across multiple conversations. A Productivity Boost – Instead of digging through pages of notes, we get clear summaries and can move straight into action. Our reflection is that we decide a lot of things, so lots of actions, and a few that we hadn’t noted ourselves! We will keep iterating and learning with Otter.ai, we want to gt better with identifying the speaker and coaching it a little on some of our nuances, but like any new starter in your team we are providing lots of feedback and encouragement, and it is good to know they have a good attitude and are keen to learn!! (as are we) But we aren’t slowing down, we are going to learn hard into this AI thing. This week, we’re going to take it a step further—exploring how Otter.ai can record and summarise phone calls. We’re curious to see if it’s just as useful in capturing insights on the go! What’s becoming clear is that using AI isn’t the hard part—the real shift is in our mindset. At Shilo, we’re focusing on experimenting, testing what actually works for us, and embedding AI into our workflows where it adds real value. The goal? Last week, we talked about using AI to streamline HR workflows and the mindset shift needed to start embracing this AI thing. (Check out last weeks post if you missed it!) Between endless emails, LinkedIn posts, meetings that should’ve been an email, and trying to find time for actual work (or life), we could all use a little AI help. There are so many tools available, so at shilo. we are trying a pragmatic approach, testing and experimenting with free tools, or tools embedded in our existing software platforms. We are asking ourselves, what are the problems to solve, where are we bogged down in tasks that AI could eliminate or improve, to see what works best for us. We will share what we are doing here, in the hope that it helps, provides inspiration to jump in, and be curious about AI. I know so many of you are doing the same and would love your insights, tags, and shares as we all learn. Below are a few things we are exploring at shilo. this week as we try to work smarter and make AI our personal assistant, with readily available tools and some that are integrated into platforms we already use. Automate the Mundane but Valuable Tasks! This week, we’re giving Otter.ai a go! Meeting insights are rich and valuable at Shilo and enable us to learn and deliver for our clients and consultants. Otter.ai, transcribes meetings in real-time and highlights key points, allowing us to focus on the discussion without worrying about notetaking. Even better, you can ask Otter.ai to provide summaries and insights on topics discussed in the meetings! Write Faster, Edit Smarter We’re forever drafting documents, and if you're a Google Workspace user, Gemini helps out by assisting in drafting and refining content, ensuring our writing is clear and effective. We’re also trying Grammarly for quick edits. It offers AI-powered suggestions to improve tone and clarity, making our writing more effective. Making AI Work for You — Updated Tips We’re Trying to Adopt Stay Agile: Test out AI features within your existing tools to find the ones that simplify your workflow. Experimentation helps you learn what fits best. Focus on Integration: Leverage tools that are already part of your ecosystem to save time and avoid tech overload. Embrace the Efficiency: Think of AI as your productivity booster. Use it to handle repetitive tasks so you can focus on strategy and creativity. Let’s start with AI for HR Professionals and how it can make our day-to-day more efficient, these are things that the shilo. team have been experimenting with. Practical Tips to Start Integrating AI into Your Workflow: 1. Start small and experiment with one tool at a time. Tools like Grammarly for better writing or Otter.ai for meeting transcriptions are easy wins. 2. Optimize your calendar for focus. Use scheduling tools like Microsoft Scheduling Assistant or Motion to block uninterrupted work time or automate meeting coordination. It’s an effortless way to reclaim your day. 3. Use AI to uncover insights. Experiment with analytics tools like Excel AI to analyse employee data faster, to create quick visualisations of employee engagement trends or workforce metrics. As always it is all about mindset; Be curious: Think of AI as a tool to explore, not something to master overnight. Be patient: The first time you use AI tools, they might feel clunky or unfamiliar. Stick with it—it takes time to integrate them into your routine. Be strategic: AI isn’t a silver bullet. Ask yourself, “How can this tool free up time for my most important work?” Use AI to focus more on strategy and people, less on admin. Why This Mindset Matters: Adopting AI isn’t just about efficiency—it’s about staying relevant. As HR professionals, we’re role models for how to navigate change. By experimenting with AI in our work, we can confidently guide others through this shift. So, pick one AI tool and give it a go this week.
