An article called "AI to Review Government Records: New Work to Unlock Historically Significant Digital Records," has just been published in AI & Society! Co-authored by myself and Lise Jaillant we explore how artificial intelligence can revolutionise digital records management, tackling the enormous challenge of appraising millions of government documents for historical significance. Using AI-driven methodologies, including a specialised language model, we show how to make the process faster, more cost-effective, and efficient while maintaining essential human oversight. Key highlights: - AI processed 11+ million Cabinet Office records in one appraisal cycle, saving years of manual effort. - Projected savings of £2.2 million and ongoing cost reductions of £200,000 annually. - A collaborative approach that combines AI technology with human decision-making to uphold legal and ethical standards. Key Recommendations: - AI must be considered as part of an integrated system. - Deploying AI in isolation, without accounting for human behaviours and workflows, risks unsustainable outcomes. - Successful implementation requires humans in the system to adapt to the presence of AI and actively engage with it. We believe this work offers a scalable blueprint for using AI to preserve digital heritage, with implications for government agencies, archival institutions, and beyond.
