How this position will Make the Difference to City of Melbourne

The Office of the Lord Mayor operates in a dynamic and fast-paced environment characterised by a high volume of tasks, multiple concurrent projects, and pressing issues that require swift attention and resolution. This role demands exceptional adaptability and the ability to manage competing priorities effectively.


The position provides high level administrative support to the Deputy Lord Mayor (DLM). The Executive Assistant’s role is to enhance the effectiveness of the DLM and assist in ensuring the effective and efficient operation of the Office of the Lord Mayor through a range of business support and office management activities. A key requirement is that the Office of the Lord Mayor is managed and presented in a professional, efficient, confidential, tactful and helpful manner.


The incumbent completes all activities in a professional, efficient, confidential and courteous manner within a continuous improvement and service excellence environment. The position provides support across the organisation as directed. As an executive support level role, the incumbent has a leadership role in guiding and coaching the broader administrative team across the respective business area.

What you will bring:

  • Extensive experience in supporting senior executive level positions with the ability to anticipate support needs and multi-task within a fast-paced, high volume and multi-faceted business environment.
  • A relevant formal degree qualification and experience, or less formal education and substantial experience, with an ability to apply advanced clerical/administrative skills.
  • Strong business acumen with a sound understanding of business priorities and the ability to pro-actively contribute to deliver outcomes with high level of professionalism and judgment.
  • High level communication skills with the ability to communicate and liaise confidently and sensitively at all levels of the business.
  • Highly developed customer service skills and demonstrated ability to be professional, diplomatic, assertive, discrete, courteous and maintain confidentiality.
  • A strong pro-active approach applying initiative to independently manage workflow and apply sound judgment in making decisions with limited direction.
  • Sound technology skills across the full suite of programs, the ability to learn and adapt to new technology systems and actively educate and support other users.
  • Extensive experience in developing, implementing and maintaining policies, systems and processes to drive efficiency across administrative functions whilst leading and educating others within a continuous improvement environment.
