The role will provide a broad range of administrative support to the Project Director and wider project team across various tasks. Managing and prioritising all incoming communications and acting as a key contact point is an integral part of this role. You will also be required to prepare correspondence, documents, presentations and reports which are typically confidential in nature. You will proactively gain an understanding of the team’s priorities and commitments to manage diaries, organise and coordinate meetings, book travel, process invoices and expenses, and manage other general team-based administration.
In addition, the role will involve the production and distribution of project related communications, team and stakeholder events including interfacing with the Client, consultants, supply chain partners and other stakeholders throughout the project.
To Be Successful You Will Need
- Experienced Team/ Personal Assistant with a good attention to detail that is able to work comfortably within a busy team environment.
- The ideal candidate will understand the imperative of high discretion and confidentiality and will be able to provide guidance to other support resources within the business unit.
- Strong computer literacy
- Autonomous, organised individual, with the ability to take initiative, and able to build relationships across a range of stakeholders.
- Flexible approach and ability to prioritise
- Previous experience supporting a team knowledge of the construction industry, including the health sector would be preferred by not essential.
- Strong organisational and communication skills;
- Confident, proactive and professional manner;
- Have a "no task is too big or small" attitude and flexibility to adapt to a variety of tasks;
- Show initiative and the ability to work independently as well as part of a wider team;
- The ability to balance conflicting priorities and remain calm under pressure;
- Keen eye for detail and very organised approach to managing communications, document control and electronic filing
- Willingness to learn new skills; and
- Advance skills in MS Outlook, Word, EXCEL and PowerPoint.
- Strong written, visual and verbal communication skills
- Strong coordination skills – ability to work with a large number of people across a variety of levels within Lendlease, stakeholder and government organisations, and across a variety of tasks
