Customer Service Officer (M/F/X)
Job Summary:
As a Customer Service Officer, you will play a key role in managing daily sales operations and providing administrative support to the sales team. You ensure customer order tracking, handle quote requests, and manage contracts while ensuring smooth communication between various departments (logistics, sales, accounting, production). Your role contributes to optimizing sales processes and ensuring customer satisfaction.
Responsibilities:
- Order Management: Process orders from receipt to delivery, verifying information and ensuring compliance with sales terms and the customer's original order.
- Dispute Resolution: Handle and resolve complaints related to delivery, product returns, non-conforming quantities, etc.
- Quotation Follow-Up: Prepare and send quotes to clients (for France and uncovered sectors in Belgium) and ensure their execution.
- Interdepartmental Coordination: Collaborate with logistics, financial, and production teams to ensure smooth order processing and optimize delivery times.
- Customer Database Management: Update and maintain client information in the ERP (Odoo), ensuring data accuracy.
- Customer Service: Provide quality service by responding to client inquiries, resolving order issues, and maintaining proactive communication to enhance the customer experience.
- Sales Meeting Reporting: Actively participate in sales meetings, write summaries, and record decided actions.
- Reception Duties: Welcome visitors and direct them to the appropriate internal contact.
- Miscellaneous: Perform various other sales support activities.
Qualifications and Skills:
- Degree in business administration, commerce, or a related field.
- Minimum 2 years of experience in a similar role, preferably in a B2B environment.
- Proficiency in IT tools (MS Office, Odoo).
- Excellent organization, attention to detail, and ability to multitask.
- Strong communication skills and customer service orientation.
- A commercial mindset and team spirit.
- Fluency in French and Dutch (written and spoken); English is an additional asset.
