FEPORT is #hiring: A Personal and Office Management Assistant.
FEPORT (www.feport.eu), founded in 1993, is a policy-led and policy-driven organization that represents the interests of terminal operators and stevedoring companies in the seaports of the European Union and Turkey. With a membership consisting of multinational terminal operating companies and national associations, FEPORT aims to promote the collective interests of its members and maintain a continuous dialogue with EU stakeholders.
Role Description:
As a personal assistant (PA) you will work closely with FEPORT Secretary General and provide efficient assistance by dealing with secretarial and office management tasks.
Key tasks
Devising/maintaining office systems, including data management and filing
Preparing communications for internal and external purposes
Screening phone calls, enquiries and requests, and handling them when appropriate
Organising and maintaining diaries and making appointments
carrying out background research and presenting findings regarding service providers
Producing documents, briefing papers, reports and presentations on relevant topics for instance regarding office management
Managing the logistics and service providers of FEPORT Stakeholders’ Conference
Organising meetings for FEPORT Secretary General
Liaising with members, FEPORT members and staff and external contacts.
Required skills and qualifications
Minimum 3 to 5 years experience in a similar function (please note that any application not fulfilling this requirement will not be considered).
Languages: Full English proficiency is essential and good working knowledge in other EU languages will be appreciated (please note that any application not fulfilling this requirement will not be considered).
IT literate: MS Office (especially Word and Excel) and other communication softwares.
Ability to manage Members’ area of the organization website (to upload documents).
Additional qualities/skills
Team player, able to build good working relationships with colleagues.
Ability and drive to show initiative, and not merely take instructions.
Self-learner, reliable, flexible, job conscious and helpful.
Good communication skills, ability to deal with people at all levels.
Positive, pro-active, professional attitude, able to remain calm under pressure and able to work to tight deadlines.
Ability to prioritise and use initiative.
Good organisational skills and attention to detail.
