GUBERNA, a leading non-profit knowledge center for governance located in Tour & Taxis district in Brussels, is seeking an enthusiastic Personal Assistant to the CEO (4/5th). Are you organized, communicative, and skilled in administration? Then you might be their new colleague!
A versatile role with impact
As a Management Assistant at GUBERNA, you will play a key role in supporting their CEO and other core functions within their organization. Your professionalism, discretion, and organizational skills ensure smooth operations. In this position, you will act as the right-hand to their CEO, provide reliable administrative support to the Secretary General and HR Manager, and represent GUBERNA with both internal and external stakeholders.
Your responsibilities
Personal Assistant to the CEO:
Efficiently managing the CEO’s agenda and communication with internal and external stakeholders.
Providing all-around daily assistance to alleviate the CEO’s workload.
Meeting preparation and support:
Coordinating agendas and documentation for high-level meetings, including the Executive Committee, Board of Directors, Audit Committee, Nomination & Remuneration Committee, and Board of Trustees.
Offering logistical support during these meetings (on-site presence required).
Administrative support:
Assisting the Secretary General with legal formalities.
Supporting the HR Manager with payroll administration and HR processes.
Your profile
You are a natural organizer with an eye for detail who takes initiative. You have experience in a similar role and feel confident working in a professional environment with high standards.
Additionally, you bring:
Language skills: Fluency in Dutch, French, and English.
IT skills: Excellent knowledge of MS Office; experience with iBABS is a plus.
Personal qualities:Discreet, flexible, and able to perform under pressure.
