by Natalie Lowe, CMM, CRL When we talk about sustainable events, we often focus on the technical aspects; waste reduction, carbon footprints, and procurement policies. But beneath these practical considerations lies a more profound, more personal journey that every event planner must navigate. It’s a journey filled with hope, doubt, determination, and, sometimes, overwhelming pressure. Breaking Free from Eco-Anxiety The weight of environmental responsibility can be crushing. Every decision seems to carry the burden of our planet’s future. Should we use digital tickets or recyclable paper? Is locally sourced always better? What about those international speakers we want to fly in? The questions are endless, and the “perfect” answers often feel frustratingly out of reach. Here’s the truth: perfection isn’t the goal. Sustainability is a journey, not a destination. The shame and blame we heap upon ourselves for not doing “enough” doesn’t serve anyone, not our events, attendees, or the planet. Instead of paralysis by perfection, we need to embrace progress over perfection. The Emotional Labor of Event Planning Event planners are, by nature, detail-oriented perfectionists. We carry hundreds, sometimes thousands, of experiences on our shoulders. Adding sustainability to this mix isn’t just another checkbox, it’s an entirely new emotional dimension. We feel: ✔️ Pride when we successfully implement new sustainable initiatives ✔️ Frustration when budget constraints limit our green options ✔️ Anxiety about pushback from stakeholders ✔️ Hope when we see our industry moving in the right direction ✔️ Exhaustion from constantly advocating for better practices ✔️ Joy when attendees appreciate and engage with our sustainable choices All of these feelings are valid. They’re not just normal, they’re necessary. They show that we care and are invested in creating meaningful change. Permission to Feel It’s okay to feel overwhelmed by the magnitude of environmental challenges, angry at systemic barriers that make sustainable choices more complex than they should be and scared about the future we’re trying to shape... 20th Annual UHN Grand Cru Culinary Wine Festival: by Stacy Wyatt Hints of brilliance and innovation notes were in the air on the evening of October 24, 2024, at the 20th Annual UHN Foundation Grand Cru Culinary Wine Festival. This wasn’t just an event, it was a testament to 20 years of unrelenting generosity, bringing together the finest in wine, art, and #philanthropy under one glamorous roof. Over 115 of the world’s most celebrated winemakers gathered to showcase their finest vintages, each sip a story of craftsmanship swirling in crystal glasses. These weren’t ordinary vintners; names like Marchesi Antinori, Domaine Roulot, Lucien Le Moine, and Dal Forno Romano graced the event. Legendary among the wine elite, their creations were poured freely for an audience that could truly appreciate them. This wasn’t just a tasting, it was a movement, a tribute to excellence. Among the crowd, you could spot luminaries like Julie Quenneville, UHN Foundation CEO, and the ever-dynamic Todd Halpern, a cornerstone of the event’s success. Even Ontario Premier Doug Ford joined the revelry, speaking about the power of community and commitment. Their words resonated as the evening flowed seamlessly from tastings to the highly anticipated auction where a Rolls-Royce Spectre gleamed under the lights, and a myriad of rare wine lots drew whispers of envy, while a Miele Dream Kitchen promised a touch of luxury for one lucky bidder. Original works by icons like Mr. Brainwash, Edward Burtynsky, and Marco Sassone, turned heads, their colours and textures alive with possibility. Every paddle raised wasn’t just a bid; it was a contribution to a cause that has, over two decades, raised an astonishing $170 million for pioneering medical research and innovation at the University Health Network (UHN). Behind the scenes, a team of visionaries from McNabb Roick Events, Halpern Wine and the Hospital Foundation (UHN) meticulously curated every detail. The layout, flow, and pacing were intentional, designed to transport guests into a realm where luxury met purpose. Months of planning culminated in an evening that felt effortless, a flawless choreography of logistics, design, and execution. Halpern Wine and the UHN Foundation found perfect synergy with their event team at McNabb, who managed every facet with the precision of a maestro conducting an orchestra... Dylan’s Bar Mitzvah was a stylish celebration that seamlessly blended tradition with modern elegance. The black-and-gold colour scheme sets the tone, creating a sophisticated yet lively atmosphere. Em Events meticulously planned every detail, while the stunning décor and design by Total Events reflect both the significance of the occasion and Dylan’s unique personality. The venue was transformed into a vibrant, inviting space that effortlessly balanced the reverence of the ceremony with the excitement of the celebration that followed. A highlight of the evening was the dynamic dance floor, which led up to a platform designed to resemble sports bleachers. This subtle nod to Dylan’s love of sports was incorporated in a way that didn’t overshadow the overall elegance of the event. Behind the DJ setup, a stunning screen showcased Dylan’s custom monogram and photos of him and his loved ones, making the celebration even more personal and intimate. The evening was also a sensory journey for the guests. Upon entering, they were greeted by illuminated arches that led them into a vibrant food market offering a variety of Dylan’s favourites. From pasta stations to poke bowls, grilled meats, and fresh sides, the culinary experience was as diverse as it was delicious. The food market itself was beautifully designed to enhance the event’s festive atmosphere, with each station offering something unique and memorable. As the night unfolded, the food area seamlessly transformed into a sweet paradise, where guests could indulge in milkshakes, Dylan’s candy bar, and an array of delectable desserts that delighted both children and adults alike. The best fireworks show I ever experienced was in Dundas, Ontario, back when it was still held in the park. Lying under a blanket of stars, with the escarpment rising on one side and surrounded by friends, family, and a close-knit community, I watched as the display burst to life almost directly overhead. It’s a memory that has stayed with me ever since. Last week I had the chance to sit down with Jeff Clarmo , COO of Pixel Sky Animations, one of Canada’s top creative minds in experiential entertainment and the man behind that that incredible #fireworks experience all those years ago. Jeff’s focus has shifted from his first love to something even more dynamic: drone shows. His vision goes far beyond the tech itself, reimagining how these experiences can elevate events and transform audience engagement. In this clip, Jeff talks about the opportunity for a drone show at Canada's Wonderland He highlights a key point: shifting the conversation from cost to opportunity. By extending guest stays by hours, a drone show could significantly increase on-site revenue while creating a compelling end-of-day experience. But there’s even more potential here that I think changes this from a cost, to a revenue generator Imagine a drone show where brands seamlessly integrate into the storytelling—not as static ads, but as dynamic elements that amplify the narrative. This approach wouldn’t just captivate the audience on-site; it would ignite social media, reaching millions and amplifying the event’s impact long after it’s over. Combine that with a carefully curated guest journey, designed to build anticipation and guide attendees through the experience, and you’ve got an activation that’s as strategic as it is spectacular. For corporate event planners, the lesson here isn’t just about drones. It’s about rethinking ROI and designing experiences that maximize engagement while delivering measurable benefits. Whether it’s a large-scale show or a smaller activation, the question isn’t “What will this cost?” but “What’s the opportunity?” Drone shows are evolving from a spectacle to a strategic storytelling vehicle, offering tremendous upside, especially for #experiential #marketing, #branding, and #publicrelations professionals. I'm excited to see where this goes #eventprofs #events #experientialmarketing

Engineered Arts redefine the potential of event decor by harnessing its power to shape the emotional experience of every guest. Specializing in custom tactile installations, they create immersive environments that engage the senses and tell compelling stories.. Founded by Alina Tacmelova and Yury Goncharov, two visionaries who blend engineering and artistry, Engineered Arts produces dynamic, interactive designs that leave a lasting impression. Picture entering an event where a sculpture moves in response to your presence or a backdrop that pulses with light and sound in harmony with the event’s energy. Collaboration is at the heart of their approach. They don’t offer pre-made options or templates; instead, each installation is crafted from scratch, and tailored to the event’s unique needs. From interactive trade show displays to kinetic sculptures and immersive environments, their creations seamlessly blend function with aesthetic impact. This level of customization is transformative for event planners; they help tell the event’s story. A product launch might feature an installation inspired by the brand’s identity, while a wedding centrepiece could reflect the couple’s journey. Every piece is designed to spark conversation and create lasting memories. Sustainability is another cornerstone of their work. Engineered Arts incorporates eco-friendly materials and practices into their designs, ensuring their installations leave a positive impact on both guests and the planet. The process is seamless from concept to completion. Once a design is finalized, their team handles fabrication and on-site installation with meticulous attention to detail, ensuring the finished piece integrates flawlessly into the space. What truly sets Engineered Arts apart is its expertise in creating interactive installations. Many of their designs respond to movement, touch, or sound, inviting guests to engage directly with the environment. This participatory element transforms decor into a dynamic part of the event experience. For instance, one project featured a kinetic sculpture that grew more vibrant with audience applause, while another allowed guests to shape the art themselves, fostering a sense of connection and wonder... Lyla’s “LoveShack Fancy” Dream Party at the Grace Venue. by Jason Koop When Lyla envisioned her perfect celebration, she had one thing in mind: a dreamy “LoveShack Fancy” vibe. And that’s exactly what came to life at the Grace Venue. The event was an absolute showstopper, with every detail carefully designed by Ideation Events by Elisa Akerman-Garay to match Lyla’s whimsical and playful vision. Upon arrival, guests were immediately immersed in a stunning scene. The venue was transformed with a breathtaking balloon and floral ceiling installation, which set the tone for the entire evening. Soft pink tones blended beautifully with the vibrant floral displays, creating a magical atmosphere full of life. Below, the dance floor and bars were adorned with bold floral graphic prints, tying everything together and giving the event a fun, energetic feel. One of the event’s most exciting features was the Pop a Prize Wall. This interactive installation kept guests engaged and entertained throughout the evening. Chosen guests could punch through one of the pop holes for a chance to win a prize, adding an element of surprise and excitement to the party. Of course, no celebration is complete without indulgence, and the oversized candy table did not disappoint. Teens flocked to the table to grab sugary treats, making it one of the night’s most popular spots. It was a fun, playful addition that brought even more energy to the event. For those looking to capture the moment, the flower wall photo booth by Highlite Toronto Decor was an ideal spot. Guests took turns snapping photos in front of a beautiful floral backdrop, creating memories to last long after the event was over. The tablescape was another standout element. Lyla’s love for all things pink was evident in the design, with pink plates, elegant goblets, and custom seating cards on display. Beautiful flowers added the finishing touch, making the tables both charming and sophisticated. #Canada's biggest drone show 👏👏👏 #eventplanning #eventmanagement #corporateevents #tourism
Last weekend, Pixel Sky Animations, in partnership with Destination Vancouver, produced Canada’s largest drone show during the Grey Cup Festival celebrations in Vancouver. The event was a dramatic, creative, and entertaining spectacle that wowed tens of thousands live and continues to captivate millions more on social media. I thought it was brilliant and want to congratulate Jeff Clarmo and the entire team who worked through sketchy weather to bring this experience to life. 👏 👏 👏 This felt like just the beginning; a glimpse into the incredible potential of drones as a storytelling medium to create emotional connections, build engagement, deliver a message or blow up on social media in a way fireworks never could Imagine a dramatic voiceover narrative paired with a powerful musical score, while drones weave a visual story that captivates all the senses, drawing everyone fully into the moment. In today’s short-attention-span world, that kind of immersive focus, where audiences are completely present, is invaluable But the potential doesn’t stop there. The industry is rapidly evolving, and I’ve had a peek at some of the groundbreaking possibilities on the horizon. While I can’t share specifics (#creativity at this level is proprietary), I can say this: drones are more than an entertaining trend. They’re a transformative communication tool, capable of delivering memorable, meaningful experiences that cut through the noise and connect deeply with each individual who engages. The potential for that experience in the right hand is unlimited #drones #fundraising #experiential #events #eventprofs

Illuminarium Toronto: Redefining Event Experiences. by Jason Koop Illuminarium Toronto is a venue that transforms events from ordinary to extraordinary. Located in the heart of Toronto’s Distillery District, this unique space offers event planners a completely customizable environment, making it the ideal backdrop for corporate events, galas, product launches, and brand activations. The venue stands out because it doesn’t just host an event; it immerses your guests in the drama of the story you're telling. The venue’s walls come alive with high-definition visuals that change in real-time, creating an atmosphere that evolves throughout the event. Guests become part of the narrative, whether stepping onto a moon landing, walking through the African savannah, or exploring a new product or development. The experience goes beyond passive observation; it’s interactive, allowing guests to engage deeply with the surroundings. A great example of this was the Estée Lauder “Owned The Night” event, produced by OMG Events. During this event, the brand used Illuminarium’s projections to launch its skincare line, enveloping guests in an atmosphere that reflected Estee Lauder’s identity. By combining stunning visuals with innovative presentations, the event allowed guests to experience the benefits of nighttime skincare in a completely personal and immersive way. This event shows how Illuminarium brings brand storytelling to life by aligning its immersive environment with the brand’s message. While the experience is undeniably the centrepiece, event planners need to understand the practical aspects of the space for effective planning. Illuminarium can accommodate 250 seated guests or 400 standing, making it versatile enough for a wide range of events. Its open floor plan allows the flexibility to design the space according to your event’s needs, whether a formal dinner, an interactive product launch, or a casual networking reception. The stand-out feature is the ability to fully customize its immersive projections. Whether you want to project your company’s logo, enhance a presentation, or create a completely unique atmosphere, the space offers endless possibilities for personalization. This ensures your event feels tailored and aligned with your brand’s vision.
