Encouraging Punctuality in Functional Training Sessions When clients consistently arrive late, it can impact the flow of your day and the effectiveness of the training. Here’s how to encourage timeliness while maintaining a positive client relationship: Set Clear Expectations: Make sure clients understand the importance of arriving on time and how it affects their progress. Reinforce these expectations during your initial consultation. Friendly Reminders: A simple text or email reminder an hour before the session can help. It keeps punctuality top of mind without feeling pushy. Implement a Late Policy: Introduce a gentle late policy, such as shortening the session or charging a small fee after a grace period.
-
To manage clients who are always late, set clear expectations about punctuality from the start. Use polite reminder texts or emails before sessions to encourage timely arrivals. Implement a late policy with consequences, like shortened sessions or fees, to discourage tardiness. Offer flexibility when needed to accommodate clients' schedules. Aim for a professional but understanding approach to maintain service quality.

Set Clear Expectations & Communicate Policies: Make it clear from the start what the expectations are and the consequences of being late. Send reminders ahead of the scheduled session. This could be an email, text message, or even a phone call to ensure the session is on their radar. Buffer Time: Schedule buffer times help accommodate slight delays without affecting the next client. Adjust Session Times: If a client is consistently late, consider adjusting their session time to a slot that may work better for them. Incentivize Timeliness such as a discount for a certain number of on-time sessions or a small reward. Implement a late fee policy.

1. Set clear expectations regarding session start times and the importance of punctuality for effective meetings. 2. Communicate the impact of late arrivals on the session's effectiveness and the overall schedule. 3. Consider adjusting session times to better fit the client's availability, if possible. 4. Implement a reminder system, such as email or text notifications, a day before each session. 5. Establish a policy for late arrivals, such as shortening the session or charging for the full time. 6. Foster open dialogue to understand any underlying issues causing their tardiness and find solutions together.
