Receipt scanner apps help you organize, track and reimburse your employees’ work-related expenses. This mobile software lets users take pictures of receipts and other documents, immediately uploading them, streamlining the approval process and ensuring that paper receipts do not get lost.

We tested eight of today’s most popular receipt scanning platforms, scoring and comparing them based on their value, features, pros and cons. Veryfi is our top choice overall due to its high-accuracy receipt scanning API, but each platform offers advantages in certain use cases. Expert Take

Veryfi offers a highly accurate Optical Character Recognition (OCR) API that can integrate into your company’s preexisting software or mobile app for receipt scanning. This OCR can scan multi-page receipts, long receipts, invoices, purchase orders and W2 forms with excellent accuracy. The main downside to this API is that it requires your team to have a knowledgeable programmer to integrate it into your software. It charges per receipt, with a $500 monthly minimum—which is likely too costly for smaller teams.

Veryfi also offers a ready-made app with its OCR scanning capabilities. It analyzes documents line by line to extract cost information, enforce policies you set and glean other insights. Users can also split bills and receipts.

Considering its slightly higher price is more than the average, I’d only recommend Veryfi’s Expense Management app for companies that scan a high volume of multi-page receipts or long receipts, or that are concerned about optimizing document scanning accuracy.

Expert Take

Much more than just a receipt scanner, Wave is complete accounting software that lets you manage your company’s overall cash flow, pay staff members and receive payments. While other accounting services such as QuickBooks also let you accept payments, Wave’s interface feels more straightforward and pleasant.

You can create invoices in various styles using clean-looking templates, which you can easily customize by color and font to fit your brand. After submitting an invoice to clients, you can receive payments directly through Wave by ACH deposit, credit card or Apple Pay. The simplicity makes Wave a strong option for companies that want to manage client billing and receipt expenses in one place.

Wave also lets you pay employees directly from connected bank accounts—and the multifaceted analytics portal lets you track overall sales, cash flow and expenses. It’s a good value for teams seeking a complete bookkeeping and accounting app that feels more modern than alternatives such as QuickBooks or Xero.

Expert Take

Zoho Expense is a well-rounded and cost-effective app that will meet most companies’ needs for everything related to receipt scanning, accounting and expense management in general. Starting at $5 monthly per user, it’s the cheapest option on our list and provides better accounting functionality than many others we tried.

The software tracks mileage, including GPS functionality, for accurate assessment. You can set budgets and allocate specific amounts for trips, with itinerary management and the option to set custom travel policies. It has a higher purchase-request and receipt approval level than most other platforms—with multilevel approvals, simple approvals and many other approval-sharing styles. You can even create workflows and alerts to customize who is notified by email to approve certain transactions.

Zoho is an affordable option for teams of any size, and each of its plans offers feature-rich expense management beyond simple receipt tracking.

Neat is a fairly straightforward receipt scanner and expense management app. You can use mobile to take photos of receipts, invoices and other documents, automatically uploading them to the app. Neat’s OCR data tool will analyze your documents line-by-line and extract key information, organizing your documents by whatever category you choose. Within the app dashboard, you can filter and search your stored files.

However, the main thing that sets Neat apart from alternatives is that it integrates with tax software such as H&R Block and TurboTax. When tax season rolls around, these apps automatically extract information from your Neat records and populate tax forms, avoiding human-made errors and streamlining the tax process. Neat is a good option for companies planning to use one of these two systems to pay taxes.

Shoeboxed is a simple receipt scanning app that helps you organize various types of documents: receipts, business cards, credit card statements, bills and other documents such as invoices. You can use the mobile app to scan these documents, and Shoeboxed’s desktop dashboard categorizes and organizes them for easy retrieval. I found it very easy to use Shoeboxed because of its basic features and interface. However, it lacks the advanced features that alternatives have—including mileage tracking, approval workflows and budgeting.

Beyond its simplicity, one unique aspect of Shoeboxed is its Magic Envelope feature, which provides unlimited envelopes that you can stuff full of paper documents and mail to the Shoeboxed address. Once Shoeboxed receives the envelope, on-site workers verify your scanned data and categories, providing an extra layer of assurance.

In line with its name, which harks back to manual receipt management, Shoeboxed focuses on allowing human verification of receipts while streamlining the process. Still, users express concern over the software’s slowness and the costs associated with a subscription model.

In spite of concerns, customers love that it works for personal and business use and eliminates clutter.

Pros & Cons

Expert Take

QuickBooks Online is a popular and comprehensive accounting software with a built-in receipt scanner on mobile. You can also upload receipts on your desktop or by email. It works especially well for sales-oriented teams because you can send invoices, accept payments, connect sales-focused apps and track taxes.

Of all the receipt-scanning apps we tried, QuickBooks is the only one that connects directly to your Amazon, eBay or Shopify account. These integrations are valuable for e-commerce companies that sell on these platforms, as QuickBooks automatically matches payouts with bank deposits and tracks your overall cash flow vs. expenses. When selling products, QuickBooks calculates and tracks your taxes throughout the year, making auditing and the tax form process easier.

Beyond its e-commerce integrations, QuickBooks can sync your data with over 700 other platforms—offering a more versatile integration stack than any other receipt-scanning app on our list.

QuickBooks, frequently called QBO, is arguably the widest-used accounting software. While customers love the product itself and its features, service doesn’t fare so well. With so many customers, things do go wrong. Notably, customers are dissatisfied with customer service wait times and lack of satisfactory problem resolutions.

Pricing is another rising concern as costs continue to increase.

Expert Take

Dext Prepare is a business expense-management platform that lets you scan and manage receipts, invoices and bank statements. Its mobile app scanner can capture multi-page and long receipts and compile different scans into a single file. The software provides many ways to organize extracted data—by date, item category, currency, tax, invoice number or payment status. These auto-organization options significantly benefit large teams that process many documents—not just receipts but invoices and other expenses.

Dext charges by the account, which is unusual and likely makes the software too costly for small teams. However, if your company manages expenses and receipts for over 30 users, the per-user cost may be lower than most alternative systems on this list.

Dext Prepare includes receipt scanning and management. That said, users point out a clunky interface while liking the integrations with accounting packages such as QBO and Xero. People also noted how helpful the categorization automations were.

Pricing can also be an issue, as the software’s per-account pricing makes it expensive for smaller companies. Combined with costly add-on service options, users voiced concerns over the software’s cost-to-benefit ratios compared with other options.

Pros & Cons

How To Choose the Best Receipt Scanner App

When choosing receipt scanner software, it’s important to choose a product with features that meet your business needs. You also want a platform that offers strong value and integrates with other accounting, finance and HR tools you use.

Essential Features of Receipt Scanner Software

Well rounded receipt scanner software goes beyond mobile receipt scanning—bundling features such as automated data extraction, organizing different types of documents and forwarding expenses to the right people for approvals.

Here’s a more detailed breakdown of what features to look for.

  • Mobile app with OCR: A receipt scanning app must enable Optical Character Recognition (OCR) from mobile devices—enabling your system to scan and analyze documents. These include receipts, business cards, invoices and other paper materials.
  • Line-item data extraction: The app should automatically extract key information and language from scanned documents. This includes relevant names, dates, payments and item categories for expenses.
  • Bookkeeping features: The scanner app’s dashboard should log and organize your expenses in custom categories. This enables administrators to search receipt and invoice records by user, date, amount, category—and in some cases, monitor the flow of expenses vs. deposits.
  • Mileage tracking: Since many employees track driving time and distance as a company-paid expense, it’s valuable when your receipt-scanning app lets employees log mileage. Some apps, such as Zoho Expense, even include built-in GPS for extremely accurate tracking.
  • Approval workflows: Once an employee logs a receipt, one or more administrators typically review and approve the expense. Approval workflows automatically notify certain parties for approval, often in a custom order, expediting the reimbursement process.
  • Bank feed reconciliation: Many receipt scanning apps automatically reconcile your expense logs with bank statements, confirming the accuracy of amounts reported on company cards.
  • Reimbursements: If your receipt scanner software can connect to ACH and bank accounts, administrators can reimburse employees for approved expenses directly from the app.

Each provider on our list offers a combination of these features, but Zoho Expense offers the strongest combination of mileage tracking and approval workflow customization. Wave and QuickBooks both offer comprehensive bookkeeping features, and Expensify works great for quick approval turnaround and reimbursements.

Value

More than price, a receipt scanner’s value is about the impact it makes on your business for the amount you pay. Good value means the software provides various features that make your business processes more efficient, without making a huge dent in your technology budget.

Zoho Expense offers exceptional value because of its wide range of features, automations and integrations that meet tons of business needs—all at the lowest cost of any product we tested. However, other software such as Wave and Neat offer great “bang for your buck,” and Dext has unique value for large companies with high user counts.

Software Integrations

Receipt scanning and expense reporting are just one aspect of your company’s finance and cash flow, so it’s helpful when your scanning app integrates with related software. Helpful integrations include accounting and finance apps, e-commerce and sales platforms and banking institutions.

Here are some of the most important and common software integrations to look for.

  • Accounting: Integrations with accounting and bookkeeping apps such as QuickBooks and Xero connect your scanned data—from receipts and invoices—with the rest of your company’s finances. This helps administrators monitor the balance between expenses, incoming funds and total cash flow.
  • E-commerce: Connections with e-commerce apps such as Amazon and Shopify enable your receipt scanning app to track sales and inbound cash flow, for a more holistic view of your company’s financial performance.
  • Payroll and HR: Integrations with HR apps such as Gusto and Zenefits help companies connect employees’ receipts, reimbursements and expenses with their overall pay. This organizes each employee’s payment records and ensures reimbursements are properly logged.
  • Communication: Integrations with communication apps such as Slack, Gmail, Google Workspace and Microsoft 365 ensure that the proper parties and staff are informed about logged expenses and receipts.
  • Credit cards and banks: When your receipt scanning app connects with credit cards and banking institutions, you can reconcile receipts and expense reports with official financial statements. Additionally, ACH integrations enable direct deposit from within your receipt software.

Among the providers on our list, QuickBooks Online stands out with an exceptional number of integrations, including unique connections with e-commerce apps. Expensify has strong integrations with banking institutions and HR platforms, while Zoho Expense has a wide-ranging suite of connected software.

Which Receipt Scanner App Is Best for Your Business?

If you’re looking for the most accurate receipt scanning, Veryfi is an easy choice. It’s a little pricier than the cheapest options on the list, but it can auto-scan long documents with great accuracy.

On the other hand, if value and budget are your main concerns, Zoho Expense is a great choice that doesn’t compromise functionality for cost savings. For a small monthly fee, the receipt scanner does more than just the basics, including mileage tracking and detailed approval workflows. But, if your employees only scan a few receipts annually and you don’t want an advanced platform, you’ll likely do fine with a free plan from Zoho Expense.

However, if you want a well-rounded receipt-scanning app that also serves as a general accounting tool, you’ll find good value with Wave, QuickBooks and Expensify. These platforms go beyond receipt scanning to bundle reimbursements, connections to your bank accounts and integrations that work with your sales stack.
