We used surveys, interviews, and usability tests to uncover user concerns, habits, and navigation issues. These steps were crucial for creating an intuitive and aligned experience with users' real needs. User research isn't just a phase but an ongoing practice that ensures our solutions are genuinely useful and satisfying. This user-centered approach distinguishes between an acceptable product and a truly successful one.

One important considerations is the variety of tools available means users can take many potential routes to the data they seek, email, SharePoint, Teams, search, copilots etc. Understanding how to allow the data to have a permissions model that fits the user needs means also understanding a wider implementation of any organisation wide policies and protections in place across all of these tools.

A well designed modular system maintains a consistent look and feel even with changes. As users are human so there can be changes any day anytime so we should be prepared. Think you wouldn't demolish your house to add a new room. A modular ia gives the power to adapt and grow alongside users.

It's easy to say "make it flexible" and harder to do it. Here's a way to get started: Identify Core Components: Break down your design into fundamental components that can function independently. Do this by understanding user needs, auditing the current state of the system, defining the goals of the system, list and breaking down tasks that the user must do to achieve this goal. For example, a recipe app: To design a recipe app, first understand user needs: searching recipes, saving favorites, creating shopping lists, and following instructions. Break these tasks into core components: search functionality, recipe viewer, favorites list, shopping list, and so on

As information architecture is based on organizing, navigating and searching content for the users and by the users, flexible design it has to be a key feature. If this is reached either by applying modular design or hierarchical one is a matter of organisational complexity. The flexible design allows it to implement big changes and for the users to easily navigate the new implementations and changes.

This reminds me of a ribosome. Taking in amino acids to assemble proteins for different functions. There are only 20 amino acids but in combination can comprise virtually infinite variations of proteins. Information Architecture is essentially the same situation. We use words as [building block] labels to categorize activities, using nouns, verbs, adjectives to play the game of coordination (building proteins) relevant to our organizations goals.

For refining Information Architecture (IA), adopt a continuous improvement approach. Instead of solely relying on regular user tests, integrate automated analytics tools to monitor user interactions in real time. Use A/B testing to compare different IA versions and gather data-driven insights. Each iteration should leverage this rich feedback to make precise adjustments, ensuring the architecture evolves with user needs. This proactive, data-centric method helps you stay closely aligned with user expectations and quickly adapt to changes in behavior or preferences.

Continuous testing is an essential aspect of the design and development process, guaranteeing that a product continually adapts to fulfill user requirements and anticipations. This method includes regularly testing and improving a product according to user feedback and data.

If possible, make testing indistinguishable from doing. Users who believe they are using a completed new system will produce different results from those who know they aren't.

Wireframing is one of the best ways to test Information Architecture. You don't need to have the finished product to do iterative testing. Just a little sketching can put ideas on the table and build the product structure, test with your users and validate with product owners and stakeholders. Save time on mockup design and coding.

I think this point encompasses all the others. It's about not settling once it's ok and continuing to analyse the behaviour of our users and the metrics of our product (product, service, system, platform, ...). When we see that there is a change in behaviour or a relevant variation in the metrics, raise new hypotheses and make small tests (guerrilla or similar) and test in production using CRO techniques. It is not about obsessing and making constant changes, but it is important to evaluate and make small corrections always with our goals in mind.

To learn, one must first doubt. Make sure to let your doubts sprawl early so you can understand how they support each other. That way you can address the most fundamental doubts first. When you resolve a given doubt, you have proven to yourself it is not an obstacle to believing what you are learning.

Watching ppl use your UI will not only clarify what you didn't consider, it will highlight any of your own biases that might have eluded you. If you are lucky, you will learn a better way for users to meet their goals. If not, you will see the perspective problem that is skewing your result, and can adjust accordingly.

When I first introduced "Sudden Demos" to MS OFFICE help, Localization was alarmed. Prior to the pilot project, video demoes were an expensive, vendor-heavy process that required fully localized collateral and demos for all tier-1 markets. I met with Video Loc, and convinced them that near-verbatim Loc versions of US demos were not just unnecessary, they were culturally inferior to analogous demos done by native-speaking product SMEs. So the process became that Loc SMEs would watch the en-us version, then produce a localized version for their market. This change unlocked the demo process in several ways, my favorite being the creation of original demos in non-English versions based on market needs, and a large increase in non-English demos.
