When you are working with multiple priorities in which some of them may be competing, its important to prioritize them by urgency and importance. There are some priorities that are important but not urgent and there are others that are urgent and not important. When prioritizing consider focusing on what's urgent and important first. Then look at the non-urgent important and urgent non-important next and determine which needs more of your attention. Those things that are neither urgent nor important can be put on the bottom of the list.

When there are multiple competing priorities it is important to communicate transparently about your capacity to meet all priorities and to have open dialogue about 1. what is most urgent and important and 2. whether any of the priorities can be delegated or distributed throughout the team.

Time blocking is a game-changer for managing multiple healthcare projects. By dedicating specific time slots to focused work, we can boost productivity and reduce mental clutter.

Time blocking is a very effective way to increase productivity, and creating a long term (and recurring) structure helps to increase the sustainability of this valuable habit. One way that I recommend to my coaching clients and leaders is to choose a standing day/time to time block for each priority and block it on the calendar. This is a long term sustainability practice helps to eliminate having to figure out time day to day or week to week.

Because we as physicians are often conditioned that we have to do it all ourselves, delegation can be challenging for us. However, delegation is key to enhancing productivity. The question I always have my physician clients ask is "what am I doing that I don't have to be doing?" "What can I comfortably let go of and trust someone else to do it to satisfaction (not perfection)?" and "What are the tasks that if I let them go right now, would allow me to focus on what I truly need (and want) to get done. Then I have them make a list, and figure out who the appropriate person to delegate is/are. Often times we find that more than 50% of the tasks they are doing can be offloaded or at least shared in responsibility.

Delegating tasks to team members based on their skills and workload capacity can lighten your workload and expedite project completion.
