How can RPA and BPA work together to optimize business processes?

I find RPA (Robotic Process Automation) a real game changer in process automation as it allows companies to quickly involve their old software in modern digital processes. While often, legacy software has no digital endpoints other than user interface, RPA is able to interact with it either via simulating user behaviour (clicking on buttons, inserting data into fields), or in a more reliable way e.g., by executing scripts.

Good point! But it is not only for involving old software. I'm just finalizing a project where I used RPA to "integrate" with modern web applications that do not provide APIs. Game changer it is!

One of the suitable solutions for RPA, as far as I had conducted some researches previously, was BMC Control-M which one of the advanced in this field and I am familiar with them from 2014, specially when I found their Infographics which was by the subject of "The Workload Automation" that I highly recommend to have a review.

Here, BPA stands for Business Process Automation. It means using technology to support or automate complex business processes and workflow. BPA goes beyond just the simple automation of tasks; its main purpose is to optimize whole end-to-end processes, such as customer onboarding or supply chain management. This can be realized by combining several different systems and applications into one seamless, automated workflow.

BPA (Business Process Automation) is about automating end-to-end workflows to improve efficiency, while RPA (Robotic Process Automation) focuses on automating specific repetitive tasks within those workflows. When we combined BPA and RPA in one project, we used BPA to streamline the entire customer service workflow and then implemented RPA to automate data entry tasks. This combination saved time on manual data handling while optimizing the entire process for smoother customer interactions. Integrating BPA and RPA can enhance overall process efficiency and free up employees for more valuable tasks.

I am always emphasising that RPA should be used as the last possible choice. This is because of its likeness to failures, because of many and often unpredicted situations that may occur on machines where these processes are running. In my opinion there are often scenarios where automation on the endpoint level should be performed first, as it’s more reliable and actually many of the systems that are about to be automated actually have digital endpoints. Therefore before you start thinking of RPA do a deep analysis of all systems used in the process and think how to limit or even avoid use of RPA:)

To me, BPA (API automation) should be used as much as possible, but when you have good reasons (for instance - a lot of investment has been made in a tool that can't be automated via APIs) you can fallback to RPA for UI automation. Also - RPA can be a great option for attended automation, so that the person running the process can verify if the process is running correctly.

The entire puzzle is BPA, and RPA one of the different pieces. BPA is the overall term, the bigger picture as it says itself “Business Process Automation”. The different aspects/elements of BPA differ based on the requirements, needs, organization, (financial) resources. RPA is a way of doing Business Process Automation. It’s in a nutshell focussed on UI automation (mimicking human behavior through the user interface) but can also include some API interactions. RPA is BPA, while BPA is not purely just RPA. It can involve a combination of technologies (IDP, low code, pro code development, API automation, etc.), organizational/process related changes.

RPA and BPA serve different purposes in automation. RPA is best for automating specific, repetitive tasks quickly and easily without changing existing systems. BPA, on the other hand, aims to automate entire processes, using AI and machine learning for smarter and adaptable solutions. BPA involves deeper integration with existing IT infrastructure and requires more planning and customisation. While RPA can be deployed with minimal IT involvement, BPA demands careful coordination and change management.

RPA and BPA both aim to enhance business outcomes through automation, but they do so in complementary ways. 🤖 RPA focuses on automating repetitive tasks, while BPA handles broader, end-to-end process improvements. 📉 Both seek to reduce costs, improve quality, boost productivity, and lower risks. 🔄 Combine RPA’s efficiency in handling routine tasks with BPA’s ability to optimize entire workflows for a more comprehensive approach. 🌟 This synergy can lead to greater overall efficiency and better results for your business.

Also both RPA and BPA also bring about significant cost savings and free employees from mundane tasks to pursue more strategic and value-adding work.
