We use a paper in the vehicle called "Vehicle Defect Card" and whichever driver was driving that bus would first fill that form and write down the external condition of the bus like scratches mark and after his trip or when he finished. He will write down any other mechanical problem he faced while driving. After this, that VDC will go to the workshop with the fleet and be looked after by the engineering team.

I have become aware of a couple of software/hardware technologies that may have application to Fleet Mangment and I would like to see if others have had positive ( or negative ) experinces with them. One is a sensor upgrade called MobilEye that provides drivers with an audible and visual warning if they are follwing too closely to the vehicle ahead. Th eother is called WeProov.AI which is phone app that is used to inspect vehicles exterior for any damage that may be attributable to the driver use of the vehicle. I am a safety manager at an academic insitutution where vehcles are routinely signed out by students and frequently returned with some unreported damage.

Another important factor when choosing vehicles is availability of support and service level agreements that protect the fleet owner should the support and parts availability be hard to source. It is important to diversify your fleet but not at the risk of not being able meet customer demands or losing money due to unavailability of fleet as it await parts and or service. If there parts availability is in question, the SLA must protect the fleet owner and the capital costs should also be attractive.

Another factor to consider is Driver Ownership. Assigning drivers to specific vehicles in the long term creates a sense of ownership and responsibility with imcreased care as the result. Allows for prompt detection of even minor faults and repairs which in-turn prevent faults from escalating into breakdown, thereby reducing downtime and also repair costs. Experience has shown that vehicles assigned to specific drivers outlive vehicles open to drivers in the pool by at least 2-3 years.

Cost was literally half the size of earlier invoices, and downtime was reduced drastically.
