Encourage an open and safe environment where employees feel comfortable sharing their thoughts and concerns without fear of retaliation. Be open to the feedback and recognize that criticism is essential for personal and organization growth. Truly listen to what they are saying before responding. Make sure that you understand the message they are trying to convey so that an additional issue of misunderstanding is not added to the current situation.

I believe besides active listening, you must have emotional intelligence and empathy. This helps to align with the employee better. You will be able to address the situation must more in sync with what the employee is undergoing. Listening with a deeper sense of immersion ( I call immersive listening), will ensure you give your undivided attention focusing on the situation at hand.

I would say to try and remove how you feel from the situation and focus on achieving the goal. I know personally I've had experiences where I put too much of my own feelings into the situation that the goal became clouded with personal feelings rather than practical solutions, and it made the job the much harder to complete.

Always acknowledge their message and show that you understand. I have found that ownership of mistakes, shortcomings, etc. is HUGE. Simply acknowledging that you made a mistake and have shortcomings will go a long way. Ask for suggestions for ways things can be approached differently and come up with a compromise or a new process that will improve things. It is so important that you get back the trust that may have been lost or diminished. Without trust, you don't have a solid team.

It is extremely vital to acknowledge by being specific about what you are addressing. Communication is key. Being humble and accepting responsibility has a profound impact. And all this must be genuine and it should be felt in your body language.

I always ask for examples. Even in my personal relationships I like to make sure I have the right context. Ask questions, get examples, get additional insight - all of that will help make positive changes.

It is important to have an open mind and ask for clear feedback. What needs to be done to avoid such mistakes from occurring in the future? This is when energy levels increase and different ideas flow. Giving ample time for feedback and ensuring that you as a leader fully understand and make the relevant changes that everyone is happy with.

Action is the second most important step after acknowledgement. You have to follow up by taking action vs. just listening and doing nothing. Show your team that you are accountable for your actions just as they should be.

Approaching employee criticism with a positive and constructive mindset is essential, sometime not easy hence It is our responsibility to give them the right tools to communicate. Encouraging our team to address Behaviour, Outcomes, Feelings, Future is a brilliant way for them to deliver difficult feedback.
