How can you use a digital checklist for maintenance in Manufacturing Engineering?

Digital checks list when it's connected to the right tools for analysis, can be very effective to adjust the PM and CM program and add value to the reliability key performance indicators for assets.

One of the most useful technology integrations for workshop floor level personnel. It helps with simplifying the task and staying focused on what is important. I believe it provides a sort of roadmap and guides even the most less experienced personnel to follow it rather than taking a different approach or follow intuition. I recall, we for this very purpose used to call it the ‘route’.

Digital Checklist is one of the "must do" initial steps to secure the path for transition from preventive to predictive maintenance!

Currently there are many instruments and tools to allow us monitoring operation variables online. However, I consider it important to use a check list after major maintenance, overhaul or machine startups, including programed shutdowns. A digital tool to carry out this activity on a cell phone or tablet would be great help.

There are few options : 1- Make one rough sketch on excel. And start optimizing it as you implement and work on it. It cant be perfect. It’s a continuous improvement program. 2- If you use excel, the go with Google Sheets, its online and available through mobile. So your co-workers can get updates any time they want. 3- Start with an app, like UPKEEP. They give you basic layout to help you get going. Once you understand the points. You can develop your own or move to higher Management Apps.

I would really recommend to start with a list of your equipment, classified to 3 groups: Machines, Systems and Instruments. These groups ofter get taken care of by different types of technicians. Mechiners for machines, Utilities guys for Systems and calibration techs for instruments. PM's should be written based on: 1. Vendor's maintenance recommendations specified in manuals. 2. Technicians knowledge. 3. Experience with the equipment. Each line should be short and clear. And checklist should have slots to record information when needed. Some of the working instruction lines could probably be repeated between your different equipments.

To be considered in this process is the time taken for a particular task, frequency, scope, tools needed, skill requirements and number of people necessary for the task.

I would say, you need to go first to the user manual and supplier recommendations. This way you can start your check list covering basic tasks. Then you can set a time (3, 6, 12 months), to sit down and analyze data to refine your list.

One thing I have found helpful to create a digital checklist, first we need to make a list of all equipment and their parts (Critical, Auxiliary and Integra) from the OEM. This is very crucial. After listing all the equipment, a matrix numbering with respect to equipment location in the plant has to be carried out on all equipment for easy identification. Then all maintenance activities(AMs&PMs) must be listed out from the OEM manual as specified by the OEM, However, checklist can be updated when an improvement is carried out or identified. The next stage is to set the Frequency of scheduled maintenance according to the following 1.Equipment criticality in the process flow 2.How often the equipment runs in the process flow 3.Wear rate.

If the records are online and available per authorisation then a compilation of machine history is available for reference on demand. This is the best advantage of having a digital checklist.

They provide ease of access, are more easily updated, reduce paperwork, allow for better tracking of tasks, enable real-time collaboration, offer data analytics for performance insights, and can integrate with other systems for a streamlined workflow.

Challenges the #1 Train Your Personnel! Once you have your checklists created, you’ll need to make sure your maintenance team uses them properly. Often, there’s a bit of resistance to the adoption of checklists, but if you take the time to discuss why they’re important and to demonstrate best practices, it can facilitate their use. It may take some time, but the end results are worth the effort. Without the right training and buy in nothing will be effective in keeping this in place.

2 major challenges I can mention are: 1. Technician training - Usually GUI's are not so easy for everyone to use, requires some experience and will from the technicians side. 2. Qualification - could make sure you don't loose your data, but requires time and effort.

The biggest challenge is to trust the information obtained, you have to work with all the personnel involved to create awareness that all the information must be true and accurate.

Feedbacks are really important in this case. The experience of the technician will feed the management with the necessary data to remodel the checklists to improve the time, cost and relevancy of the specific checklists on the process.
