I was quick to communicate to them as being an HR, I don't want put another HR depart down In front of their stakeholders. I also know how painful once the entire process is over, if candidate didn't turnup as many cases back up candidates will not be there for mid sized companies. So by knowing all things i just took the initiate communicate upfront and informed them with in 24 to 48 hours of offer and with reason. If you give such clear explanation, still there is chance in future they may consider you or you have the option of approaching them again. So smart strategy is keep the options always open.

In my experience being open and flexible can work as there are chances they might reconsider. However make sure your parameters of flexibility do not break your back. Always remember your primary reason for declining the job offer, because it has to be the most strongest one and do not compromise on that.

Even though you're in the process, you're not the only one investing energy, all parties involved are and if they've been professional and polite to you, you should be like that to them as well. Even if they haven't shown their best, you can show them how it's done. Also, in any case, if you want to leave the door open for potential opportunities in the future, it does really leave a good impression if you're just genuinely being nice. No reason not to be nice, especially if there's no cause for it.

I know it can be a difficult email to write but any sane recruiter has had this happen to them more than a few times and will wish you nothing but the best. Here’s a good example of a message I received: “Hi Matt, I wanted to let you know I’ve accepted another offer. I know that might feel disappointing but I wanted to let you know that I really enjoyed meeting you and the team. You all gave me a great insight into the role and the company and I’d still love to work with you all some day. I hope that remains an option. Take care and I’m sure our paths will cross again. Best, [Name]”

To further Bob's comments...a timely reply that you are declining the offer PLUS indicating that you want to stay in touch for future consideration typically works. I was offered a job in the mid-west which I declined. Spoke with the same recruiter a couple times within a year. Was invited to interview for a new role with broader responsibilities (and without having to relocate.) Accepted; was in the role for ~3 years.

Even if you have nine other job offers you like better if there's anything the pandemic era has taught us is that no job is forever. Not yours and not the hiring team at the company you are turning down. You might find that hiring manager has a much nicer next job and they may well remember you when they add to the team. They may remember you if they get some of the issues that cause you and or other candidates to reject an offer fixed. Make it a positive memory as much as you can.

Before turning down the offer, ask yourself why you are about to turn it down. If it is related to pay, don't be afraid to try to negotiate. There are times where the offer that is extended is the best and final offer but most times you may be able to negotiate anywhere from 1-10% depending on the company/hiring manager. If this opportunity is something you really wanted but the pay you are looking for won't budge, ask for information related to benefits, stock options, PTO, paid holidays and try to see if there is any flexibility to offer an increase in any of those benefits. Maybe you couldn't get the extra 5,000 salary but maybe they can offer an extra week of PTO. If you are still not happy with the offer, be tactful and prompt.
