How do you test and proofread your desktop publishing documents?

One thing I tend to do is fine-tune it as I go. Thankfully, squiggly red lines let me know if I mistyped something. Of course, proofreading is crucial, so if you plan to make many copies, print just one copy first to see if there are any kinks to work out beforehand.

When I proofread and edit any document, I do it manually, slowly, and meticulously to ensure brevity, correct grammar & spelling of words, and coherence for the intended recipient(s). Additionally, I use the "Spelling & Grammar Check" feature of MS Word to double check written content. It is important to learn how to test accessibility features on your system and the common systems you know will be viewing your products. There are ADA check websites as well as accessibility websites. But having someone who is more skilled in different needs is always your best starting point.

I always print out copies as I go along so that I can see how it looks printed. What is on the computer screen does not always match the printed look. I proofread a printed copy, not what is on the screen. I read the material beginning with the top of the first page. Then I read each word backwards from the bottom of the page. This will let you look at the material in a new way.

When I was doing desktop publishing it was for purebred livestock so registration names could be bizarre and spell check does not help with that. It was imperative that my clients did a proof read. I checked diligently against registration certificates and spacing, layout etc - things I could do but the final set of eyes had to be my client.
