What do you do if your large-scale event is falling apart due to a lack of teamwork?

Ensure everyone is clear of their individual role/area of responsibility and that they will be held accountable for it. Once you identify the areas that are falling apart, address those individuals directly letting them know how they are detracting from the success of the event. Assign "captains" who can oversee specific areas and lead by example. Listen to concerns and consider role reassignments to better suit the individuals who are struggling.

I would gather the team together and ask each of them to define their mission for the event. If they aren’t on the same page, they need to go back to square one and find unity and propose.

Think of large-scale events as epic matches. We aim to win, session by session! If I spot our event losing steam, I'd call a timeout, gather the team, tackle the hurdles head-on, reshuffle roles if needed, and amp up our communication game to get everyone back in sync and fired up for victory!

Once you see issues arising, call a meeting with team members and identify the source of the problem. It usually stems from miscommunication. Ensure that everyone knows the role they are playing and give support where needed. Some roles may have to be switched. Review the correspondence with contractors confirming that they are fully on board. Check correspondence with all participants and make calls to reconfirm that they have all necessary information. Make all necessary adjustments and get the show on the road.

Rather than considering reassigning roles, is it possible to encourage some to mentor others? Your timeline may not allow for a meaningful reassignment of roles. Instead, consider introducing a “punch list” of tasks and review closely which team member may be better suited for subset assignments of the punch list.

Usually we don’t have problems on this subject, teamworks and job assignments are prearranged. It’s essential to have all with rehearsal and preview. The assumption would be teammates are not cooperative by specific and personal reasons. Would be only partial not all teammates. I’ll ask the ones out for quick checkouts, to restore issues according or replace directly from other deputy.

There are two important goals in any assignment - the group's and each team member's. Team members can get sidetracked by their individual insecurities and start criticizing other team members' performance. This will break the team spirit needed to get the show on the road. They must be all together and individually reminded of how important it is that they focus on their tasks. Do their work well and the whole team benefits. They must also trust that the leadership will guide/reprimand those not doing their job well or up to standard. When everyone focuses on the goal and their jobs/tasks, success will be within reach.

A clear understanding of the bigger picture and the event's main goal helps you think creatively when solving minor issues, like technical difficulties or unexpected schedule changes. Therefore, you can come up with alternative solutions to keep the event on track, for instance, if a speaker cancels last minute, there's always an alternative way to convey the message to the audience.

I have found with events that the main goal (revenue) must be reinforced again and again or else we forget the purpose. Rear ends in seats (ticket revenue PLUS charitable gifts at the event) and sponsorships (revenue from corporate supporters) are the primary ways we see revenue come in. Often, too much time is wasted debating napkin colors and the font on name cards. Staff time and focus must be on revenue-generating activity. Now, an event needs to be well planned and beautifully executed in order for guests to enjoy themselves and walk away with a fabulous impression of your organization. But if revenue is the goal, the way is ticket sales, day-of gifts and sponsorships, not the choice between mediocre chicken and mediocre fish.

It is of great importance that in case of crisis, we don't loose the sight of our goal. What are we working for, why do we do it and the importance of our proyect. If we don't see the final picture of what we are working for, it might be very possible, that we never achieve to get to the end.

If you’re the project manager, having 1:1 meetings and then a team meeting to discuss what issues there are is key. Some may not be comfortable or feel intimidated speaking in a group setting but after hearing everyone’s perspectives, having a team meeting, being honest and transparent, addressing the issues and finding a solution will not only show the team that you support all of them individually and as a team, but also fix some if not all of the issues that have come up. It is likely that not everyone will be 100% happy but coming to a mutual understanding that allows everyone to work together amicably for the sake of the client is imperative!

This is very important. I’m delegating you need to brief, hand hold, pulse check and finally de brief. Each milestone it’s important to support. Sometimes it could be your brief that wasn’t clear. Initially you would have picked up a team with skills, but if things are falling apart you need to clearly find out why and address that. Providing support at each point is important. Whilst you give freedom to the team they also need to know that you are there to support

As a team leader we have to give the example. If we feel that we are not doing a great job, it is always a great opportunity to ask for help. And if someone from our team is struggling, it is very important to help and analyze with this person, what's going on.

Providing support to your teammates does not always equal lending a sympathetic ear, it means mentorship. At times, large events can be incredibly overwhelming for the team. When assigning tasks, it's important to understand teams individual strengths and weaknesses. Be prepared to step in at anytime to provide leadership and guidance. And no matter what, I always do it with a smile.

Sometimes the best support is to show that you would not ask them to do something you would not or could not do yourself. Knowing that you have faced similar challenges and persevered – with resources, with personnel, with leadership – can often inspire your team to see the best version of themselves in this project.

The event industry requires a lot of quick thinking and flexibility. It'd vital that an event manager can quickly identify solution to issues such as poor teamwork and many other issues that will arise. Don't be afraid to make last minute changes but do ensure that the solution you have arrived at is viable and won't be at the expense of the quality of your event.

I have always found the need to expect the unexpected, plan for the worse and alway look ahead. I have been involved in a number of events where it has become reactive not proactive. Having good people in the right places at the right times is essential.

Uncertain times demand flexible leadership. Rigid plans can crumble in the face of challenges, hindering team morale. My wife and I simply seal the deal. Some initiatives are really more simple than they appear. Experienced pros gather good people around them and let them do their jobs!

I recently heard a speaker say “it’s US versus the problem.” It resonated with me because in order for a team to function, there has to be a level of cohesion and a common goal. Friendship and camaraderie is a bonus, and a nice goal, but not a requirement. As long as people are able to coexist and not compete, the team can be successful.

Events are hard: deadlines are constant, hours are long, physical demands are high, and a lot of money and egos are on the line. It's easy to feel like, "if this goes wrong, it could be massively bad for my career." It's also easy for people to have competing visions that they are passionate about. Both the worry and passion can be sources of conflict. Have empathy and remember that trust takes time to build or rebuild. Show respect for the wide variation in people's approaches to planning, their flexibility, and their ability to anticipate the bazillion things that can go wrong. Build a culture that respects complementary strengths, clearly delineates decision makers, and expects people to move toward trust that results in excellence.
