What are the key steps to creating a successful fundraising event?

Fundraising events are crucial to NGO activities. The following can be done to yield successful results: 1. Identify and know your audience/target/ donors 2. Your message should be clear on what the funds are going to be used for. 3. Add an aspect of how you will measure progress. 4. Give more time for questions and answers. 5. If this is a repeat fundraiser, show how previous funds were utilized. 6. As a bonus, you can include a bonding activity/fun activity

Obviously, the goal of a fundraising event is to raise money. But, if that's the only goal, you're setting yourself up for failure, in my experience. Create engagement goals and make sure that your event is designed to build your fundraising pipeline. There has to be a reason for people to come beyond generic support for your org. Remember, fun matters!

For annual fundraising events that depend on revenue from items (e.g. art) it is important to ensure the audience has a level of turnover year over year, or that those attending are looking to refresh their spaces. I may buy 2 pieces one year, and then have no wall space left. For events that have sponsors, it is also important to account for the costs (including opportunity costs) of servicing sponsorship agreements and relationships. The above requires organizers not to be shy that are looking to raise money (and how much) and to encourage attendees to self select if they are able to contribute to that goal. Consider putting a bell curve in the event details to demonstrate typical participant spend. Get it! $ :P

It isn’t just about SMART goals, defining why at each of those letters is also important. That will help you preliminarily identify problems and help you work through them.

SMART goals are a good tool. Another is to use OKRs (Objectives and Key Results). Check which of the available goal-setting methods is more appropriate for your non-profit.

Any successful event starts with an extended and detailed plan. The tools that you'll use are essential. You want precise communication within your company and with suppliers, guest speakers, etc. You want to ensure everyone knows their roles, responsibilities, and deadlines. Use a project management tool that allows you to track tasks and your budget in real-time, like Trello or Asana. You can also automate communication through them. Build a contingency plan based on a risk register. This helps you prioritize your expenses and limits last-minute budget surprises. One of the risks you can avoid is needing to make more reservations. Sending reminders for non-responders can be a solution here. Plan thoroughly for a successful event.

Make sure you budget the expected event cost, plus an overhead for unforeseen additional / last-minute costs, plus the fundraising goal. Another idea is to have a list of ideas to improve your event during the planning and organization phase in case you reach your funding goal early and want to bump up the event experience to your audience (and eventually secure even more funding for your non-profit). Also use a free, online management platform to keep track of everything. Trello is a good option.

Be personally involved: Ensure your personal involvement in a meeting, establishing a connection with your audience. Command attention by being well-versed in your presentation, and maintain a deep understanding of the numbers supporting your venture. This not only instills confidence but also demonstrates your commitment to the venture's success. Seek Holistic Collaboration: Move beyond a singular focus on monetary contributions. Encourage a broader collaboration with investors by inviting their insights and involvement in strategic areas such as management advice, risk and growth management, and leveraging their industry-specific knowledge. A collaborative approach fosters a more comprehensive and mutually beneficial relationship.

Make sure you understand which social media platforms are more relevant for your audience, and use and message accordingly. Think if it makes sense to have an “Ambassador” for you non-profit cause / fundraising event; someone with a reputational asset that could boost your reach and results.

It's so vital to have strategic with planning and have a strong and robust planning committee. I've seen event managers running around with their hair on fire on "the day of" and this shouldn't be the case. Everything should already be in place and all the moving parts covered. The "day of" should be able to go off without a hitch and the stress needs to be shared by a collective body of committee members who are highly invested into the event.

It is not enough to have a successful event. You need to make sure that it can be replicated. Check with those who attended and those you planned it for sustains and improves. Conduct an AAR to make sure that no cracks get missed the next time.

Recognizing and commemorating successes while extracting lessons from challenges and mistakes further refines future strategies, fostering a continuous cycle of improvement and success.

Follow up is the actual gauge of how successful the event was. The power is in the follow up. Actually show deliverables following the event and do what you say you're going to do. Keep promises! And, of course, no the answer isn't make no promises and there's nothing to deliver. The answer is make the commitments to donors and constituents so they can see the value of your organization and the kind of leadership and employees are involved in the cause. Also, don't be afraid to deploy volunteers in place to help in the following up.

All of the steps outlined already are valid. I would add that you should be prepared to network. The most successful fundraising efforts usually had a strong set of supporters. Connect with individuals and groups that support your cause. Be clear, consistent, and transparent with your messaging. Fundraising takes effort, time and several follow-ups. Don’t be discouraged, be patient, and keep going. It is easy to want to give up sometimes, but keep pushing forward. If your fundraising goals are not being met, reach out to individuals or organizations who have had successful fundraisers - ask them for advice. Lastly, consider partnering with other organizations/brands/people to help your fundraising efforts along.

Fundraising events are mostly gleaned from American sitcoms or books from UK authors making it difficult for people of other countries to visualise how the events are context driven. If the culture of the place where fundraising events occur are taken into consideration, the impact of the event for success is tripled.
