What are the most effective ways to gather feedback from clients and stakeholders?

During the initial days of any engagement with the client, identify your key stakeholders. Have informal connects over a cup of coffee or at lunch, ask them how is it going for them. Try to find out what they plan to achieve in the next 30 days to 6 months. Assure them that you and your team has the capabilities to support them to meet their goal. Circle back the feedback to the team on ground. Do this regularly for few months, and then ask the team to have weekly/monthly reviews.

This is very tricky, as we set the parameters the sources may start to give biased feedback which compromises the study. when working with other stakeholders other than users/ customers, the feedback communication should be to the point to avoid time waste and biases. It is very useful to keep a feedback loop open for the stakeholders to participate. There were many incidents where the participants added additios to their feedback which enlightened us with different perspectives.

The tool we use would depend on the amount of information we gather. As a practice, I would keep bullet points of the key takes of the feedback. it has been very useful when go back to study them again.

We had a post-mortem where we discussed what went wrong on a project. The meeting was comprehensive and thoughtful, and many learnings were gleaned from it. However, like most post-mortems, feedback is analyzed, discussed, and often forgotten. One way that I am implementing learnings is to incorporate the lessons learned in the brief for our projects. That way, we can go over lessons learned at the beginning of a project and not make the same mistake twice.

Maintaining a document on lessons learnt helps me keep track of action plans agreed upon and their status.

Once all necessary information is gathered it needs to be cleaned and removed biases, then sorted, filtered, and prioritized the feedback based on its relevance, validity, and urgency. if possible use a visualization tool, that way we may able to see hidden patterns.

Best practice is to conduct regular meetings after every succesful/non successful project deliveries without fail with respective key SPOCs. Eventhough no cons or pros provided by client, we need to send feedback forms or project experience emails regarding project improvement plans and why their feedback is very important to the organization growth as well as excellent customer experience.
