What are some effective ways to conduct user research on a tight schedule?

Always bear in mind that "shallow research = shallow insights." However some research is better than no research. Define your research hypothesis with Project Managers, business owners or with your design team. This should combine business goals, the research focus and the end-user goals. (Reference the Lean UX Business Canvas Model). Creating a learning plan will help you understand who you need to speak to, and identify any potential risks or blockers that might stop you from conducting your research. Define what are the desired research outcomes. Ask yourself the following questions: What are you hoping to learn as a result? What are you hoping this research will tell you? What questions will this answer, validate or confirm?

Streamlining the reporting phase can significantly cut down the time investment in research projects. One strategy is to have team members observe user sessions directly, eliminating the need for detailed reports. A concise, 30-minute debrief with the team afterward can replace lengthy documentation, allowing for a quick exchange of insights.

One time I was asked to validate the navigation/IA and naming for a website (using a 3 page prototype) was correct before they started development in 3 days. I spoke with 9 users, asked 5 questions that I captured on a spreadsheet. It was then color coated for pass/fail and presented in raw form to the team and decisions were made from those findings.

If you don't have money, and acknowledging the non statistical nature of qualitative used research, you will be speaking to very few people and each one must matter. Insights are more valuable if the come from the right persons. Apply rigor, challenging your own assumptions and hypotheses. Play devil's advocate, asking not just "5 Whys?" But "5 why nots?". A good way to start is to learn Hypothesis Driven Analysis , a McKinsey methodology. Break down every assumption that must be true for your hypothesis to be true, and then tackle assumptions one by one. If you need to save money, select your interviewees to refute key hypotheses. (For example: interview the CFO of WeWork on the business model; Interview Juul chief medical officer. )

On one occasion I was given the task of coming up with a plan to optimize a fast paced product with tight windows for testing. The initial planning was paramount, because it consisted of creating a reliable testing environment and formally stablishing a percentage of user traffic available for the iterative process without having to deal too much with the bureaucratic aspect of making things happen every single time we were going to launch a test. Another rule for the process was to base the system on gradual testing, reducing the probabilities of not knowing why the tests succeeded or failed. The result was a robust testing system that allowed us to successfully launch, analyze and iterate on tight schedules and demaning KPI's.

Instead of conducting extensive research, the focus is on addressing key questions or issues that significantly impact your project. This approach streamlines your research efforts. Lean research methods are tailored to maximize the utilization of limited resources. They enable quick research, facilitate the incorporation of design modifications, and support an iterative process. It's also a good idea to combine these methods with remote usability testing and guerrilla testing for even better results.

Having a clearly defined scope and objective will help you strategically target the user research and still find meaningful insights in a short time. I have found notion to be a highly effective documentation tool for quick and scrappy insights. It’s organised enough to help you make sense of the chaos during a short timeline and flexible enough to go back and reorganise the data that you collect.

Methods chosen for research should be determined by the phase of product develop you are in. For example, if you are looking for generative research to learn what you should build or how you should build it, you'll focus on attitudinal research methods like in-depth interviews, focus groups and longitudinal communities. If you are looking for feedback on what you've built, you'll do things like co-design and surveys to conduct behavioral research with users. No matter what the method is, you can speak with users and involve them in the design process.

In such cases, I prefer to opt for quicker, iterative research methodologies. Techniques like guerrilla testing, where you gather feedback in informal settings, and A/B testing can swiftly provide valuable insights on a tight schedule.

Create a learning plan that has the following columns in a spreadsheet: 1) Unknown What are the things you don't know? 2) Target Audience, Who are your users you will be researching with? 3) Research Methods Do you need to understand WHAT your user is doing and also WHY they're doing it? 4) Amount How many is required or will make this statistically significant? 5) Outcome, What are you hoping to learn as a result? What will this research tell you? Remember not to just do methods for the sake of it. Observational research is always valuable for the following reason: 1) It avoids bias, 2) What users say and do can be different 3) It can always be linked to business goals (like increase in conversion rate for eg).

A useful way to recruit is to use a scheduler tool like Calendly, that allow users to pick a time that suits them. It also handles your scheduling, meeting invite links etc. It's a great way to quickly fill your diary up for remote calls. In person, guerrilla style research can be really effective for getting feedback. Going to a coffee shop or shopping centre, armed with your prototype or interview questions can be a great way to quickly get research answers. It's really important to avoid researching exclusively to friends, colleagues or family. Their biased answers will often hinder your research, as they might not want to offend you and will only give you what they think is the "right" answer. Same applies to social media surveys!

Recruiting participants is one of the clearest examples of tradeoffs in resources/schedule/etc. If you have to do your research in the next hour, then it's going to be whoever you can reach online (internal Slack, your personal LinkedIn account, website visitor intercept assuming you have the infrastructure to even do that) or in-person (nearby coffeeshop, passerby on the street, people in the lobby, folks in the next cube). Maybe that's sufficient, maybe the profile you are looking for exists there, or maybe it's close enough. Or if not, set expectations that you responded to the time constraint by just getting who you could get, and it's not the ideal participant, so take the results accordingly.

To recruit participants take help from the multiple departments on behalf of their interaction with the customers and the understanding they have about them. Figure out your potential participants and offer them some sort of vouchers or rewards to give them a reason to participate in the research activity.

If you spend very little time, you really shouldn't call what you're doing analysis, or synthesis. It's more like summarizing. And summarizing may be sufficient. If the questions you are trying to answer are clear, and the kind of data you are collecting points clearly to takeaways, then maybe you're just fine. But you shouldn't be trying to "quickly" understand a nuanced and complex question that your organization has to date failed to gather insight about.

For speed, harness AI tools that will transcribe and summarise your notes, spreadsheets or interviews. Make sure to not rely just on these summaries and get the AI result to always provide a reference to the original content (like a quote from a user). Thematic analysis is really important for quickly identifying groups or patterns. Form insights based on themes with more than 1 source. As part of your synthesis create insights that include: - impact (which personas are affected), - type of insight (pain point, goal, JTBD, behaviour pattern) - direct references (screenshots, recordings), - UX recommendations (what does better look like?) Never just share raw data to your team, but instead create actionable insights that inform

In order to move forward make your extract the actionable insights using different methods like affinity mapping and user personas and generating hypotheses. and summarize the data sources and create easy-to-understand visuals to make other stakeholders understand.

Develop a visual summary of key insights for quick reference and use storytelling techniques to communicate user experiences effectively. Make sure to tailor the communication style to your audience (e.g., designers, developers, stakeholders) and provide actionable recommendations for immediate implementation.

In agile environments, it's important to communicate insights to your stakeholders early and often. Invite them to sit in on research sessions; share top-line findings as soon as you've synthesized them. You shouldn't wait until you have a final polished deck to speak to your stakeholders about what you're learning.

A great example is Apple Inc. inner policy. Whenever a designer wants to show to the lead, head, top management, or stakeholder, he/she has to prepare a presentation where the designer explains, what is the issue, why should it be solved, and how to solve it. This mechanic will increase your chances to sell your ideas almost to anyone

On a short timeline, documentation and presentation can often seem daunting. Taking stakeholders through a figma or figjam file that has visual aids supporting important insights can also be equally effective in communication key actionable observations.

Communicate clearly to your stakeholders to bring them on the same page. that's where story telling and documentation come into play how well you articulate users' needs, pain points, and goals and get your stakeholders on board. I feel talking about the ROI of your design for any business makes your talk more understandable

In my experience, there’s a sweet spot between insights that almost feel like general knowledge and in depth research that takes a significant mental capacity to absorb. This sweet spot depends on who you will be sharing your findings with. Generally speaking, unless presenting academic papers the shorter, cleaner and more to the point you are, you’ll tend to get more support from an organisation, which in turn will secure more budget and democratise actions on findings.

User Research tools like Maze, Ballpark & Lyssna can be great ways to conduct design research. These products let you ask surveys, track user behaviour (click heatmaps on prototypes), and record the user (video, screen and mic). These can be a great all-in-one tool that can be used for free, and at speed. These tools allow you to run unmoderated or moderated research studies at speed, helping you with analysis. Some tools also create reporting which is great for collaborating & providing feedback to your team.
