A project management platform should be implemented, managed by a DOO, OBM, or Project Manager who sets the deadlines and assigns task to the team members responsible for the tasks. Each project and task is clearly identified and outlined. Questions or clarifications related to the tasks can be asked right in the task comments. Along with weekly or monthly team meetings (depending on what the business needs) to discuss, clarify, and check in. As long as the DOO/OBM/PM is clear on the roles and responsibilities for the team members and is keeping the project management platform up-to-date, there is no reason for anyone to be confused about what they are supposed to be working on and what the deadlines are.

When joining or hiring a team, I always assess the strengths of each member. To prevent issues, it's crucial to clarify roles and responsibilities from the outset, understanding each person's strengths and weaknesses. For challenging projects, I initiate with a team-wide kick-off meeting. We discuss overall goals, KPIs, and individual responsibilities. Following this, I conduct F2F meetings with team leaders and key contributors. I establish weekly F2F meetings or calls with each leader, and a weekly team call. This approach helps keep everyone aligned and prevents miscommunication both within and outside the team. This structured communication strategy has proven effective in ensuring project success.

I have found it best to break communication projects down into assignments based on individual skill strengths. This allows team members to match their strongest talents to vital tasks. With selective delegation, roles and responsibilities should complement each other across the team, ultimately producing the best end result. When the project is complete, team members should be given the opportunity to present their work and be recognized for their contributions. This positive reinforcement strengthens a team and motivates the group to achieve future individual and collective success.
