Sometimes stepping away from work for a few minutes can help in gaining a fresh perspective and identifying priorities more effectively. 9.Regular Reviews 10.Continuous Improvement

Facilitate a quick team meeting to discuss current tasks and deadlines, and identify and rank those tasks based on criticality and importance. I would encourage the team to have open communication about their workload and challenges, this in return enables us to collaboratively establish priorities and create a shared task list.

As a QA : Discuss project goals & identify dependencies. Knowing the "why" & workflow flow helps prioritize effectively. Eisenhower Matrix: Categorize tasks by urgency. Tackle critical tasks first! Moscow Method: Must-Have, Should-Have, Could-Have, Won't-Have tasks for a clear focus on essentials. Estimate task completion times with developers for realistic scheduling. Discuss each task's impact on project goals & user experience. Prioritize high-impact tasks. Clearly communicate testing delays or roadblocks. Hold regular discussions to track progress, discuss challenges, and re-evaluate priorities as needed. Use TM tools to track test cases, progress, defect priorities and generating reports (centralized data keeps everyone informed).

When defining criteria to prioritize work, consider factors like urgency, impact, dependency, resources required, strategic alignment, risk, cost-benefit, stakeholder importance, feasibility, and value to the customer. These criteria help gauge the importance, timing, and feasibility of tasks, aiding in making informed decisions about where to allocate time and resources effectively.

Assesses the impact that tasks have on business objectives and goals. Prioritise activities that generate the most value for the organisation. Activities with closer deadlines or that have an immediate impact on other projects should be given a higher priority. Consider the technical difficulty of each task and the expertise required to complete it, it is important to prioritise them appropriately. Assess the level of risk associated with each task, including potential technical problems, dependencies on third parties or impact on other aspects of the project. Prioritise activities that can be completed with current resources and consider the team's ability to handle multiple tasks simultaneously.

There are numerous tools available for prioritising workload. I personally prefer JIRA. When prioritizing work using Jira, 1. Consistent Prioritization: Use Jira’s built-in priority levels to rank issues consistently. Customise priorities if needed. 2. Highlight Blocked Issues: Utilize flags or markers to identify blocked tasks. Address these issues promptly to prevent delays in progress 3. Backlog Management: Leverage Jira’s backlog feature to manage and prioritize user stories, tasks, and bugs. Regular grooming sessions ensure critical tasks receive attention first. 4. Strategic Planning: Prioritize tasks based on their importance and deadlines. Set due dates for all issues and focus on high-importance tasks to optimize delivery

We need to ensure we are using a proper tool for the project management with the priorities clearly defined so the team can pick the task as per the priority and focus on those first. Apart from this, we can also use agile methodology this can really help us to give a visual tracking of the assignments.

Prioritizing work effectively is crucial. Before prioritizing, we need to ensure that all team members are on same page, meaning everyone in the team understands goal and objective. Also while prioritizing, we need to consider dependencies and constraints in the assignments/task. Effective communication and providing active support will help team to resolve this challenge.

Depending on the situtation of the work to be prioritized, I mostly use 2 different workshops with my team, the MoSCoW method (Must, Should,Could,Won't) or a simpler one the Eisenhower method, a grid with 4 boxes containing each one : 1- Urgent and Important 2- Urgent but not Important 3- Important but not Urgent 4- Not Important and not Urgent where I assigne the tasks or work to be done and start my planning basing on the final grid from 1 to 4

In my experience, use a handy project management tool like JIRA that helps you understand the project criticality with the help of start date, end date and effort. Now, Analyse the projects based on priority and criticality. So I often use eat them big frog first or like the say get the low hanging fruit method. For example if it’s a business critical issue, I will focus on that and move on to other tasks.

It can be on other side as well, as a member of the team, when you see you are not able to complete the priority task, it has to be communicated to the lead or manager so that it can be re-prioritised or assigned to another resource. This will help the team not to lag in deliverables.

Schedule regular meetings with your team to discuss work progress, priorities and address any issues or challenges that arise. Implement instant messaging tools to facilitate quick, real-time communication among team members. Create an environment where team members feel comfortable providing feedback on any obstacles they encounter. Ensure that information about priorities, changes in project scope and any relevant issues is shared transparently with the entire team. Record and document key decisions made during meetings and communicate changes in priorities or project scope.

-> Conduct project catch-up (Scrum) calls on a daily basis, for a maximum of 15-20 minutes to find out about potential blockers that the team might face and the overall work status for each day. -> Schedule planning calls after the end of each cycle to plan the hours needed to complete the tasks present in the next cycle (This is known as a sprint planning call in AGILE models). -> Conduct retrospective meetings alongside planning calls to find out about the factors that went well the previous cycle and things that need to be improved upon going forward. This call acts as a continuous feedback mechanism to constantly improve upon and build the team's momentum towards a successful release.

Communicate not frequently but if you need to communicate. There is no such law that frequent communication bring value. If you think there is a need for discussion of priorities - communicate. It may happen 1 time per week, 1 time per month or never. Any option is ok if it meets project needs.

OR you may use none of these and it will be fine too. "...celebrate your successes ...learn from your failures. ...collect and analyze data on your testing metrics, such as coverage, defects, or performance... collect and analyze feedback from your team members and stakeholders, and use it to improve your process." I don't agree it is related to prioritization. It is not about working with priorities, it is more about general non-exact advises about work in general.

Usually I advise the team here to refer back the business team and check the priorities with them. But they struggling in their regular activities, I advice to use the urgent/important matrix.

Keep retrospecting, and allow everyone to be courageous enough to present their point of view clearly and openly. Keep working on action items which came as a result of the retrospection.

Reflect on Outcomes: Regularly review the outcomes of your prioritization efforts. Discuss what worked well and what didn’t in team meetings. Continuous Improvement: Adapt your prioritization approach based on feedback and the changing needs of the team and projects. What works well for one phase of a project may not be suitable for another.

Reduce WIP (Work in progress). Sounds low hanging fruit but very difficult to achieve as we automatically start working on other task as soon as we get a minor road block and instead of solving the road block we pick another task.

Making sure all the team members are aligned with your priorities is crucial. You'll move farther if you take 5 steps in the same direction rather than taking 5 steps in different directions.

- Shorter brainstorming sessions facilitate scenario understanding and allow the team to pool ideas to prioritize tasks and come up with solutions. - Additionally, this would make it easier for the team to assign duties to each member equitably and work together to effectively finish the activities that are prioritized.

- Conduct an effective meeting where every member should come prepared with the list of tasks, challenges against each task and expected ETA. - Take the input and put them against an urgent / important matrix . - Map the expected timeline and actual ETA - Now, streamline each activity with priorities , communicate the flow(parallel and serial) of actions to team and tagging agreed ETA for each item. - Take this data and make a dashboard in a tool, promote exercising frequent updates of the dashboard with risk/delay if any.

Always try to take a long-term view of your project and do not skimp on investing in a solid foundation for your project. If refactorings are needed, plan them between releases and don't spare resources for it. New functionality is always easy to integrate when the project base is healthy.
