Here’s how I learned through my experience from different situations: • Variety of Communications: you need to tailor the methodical type of communication that attract your audience attention such as face-to-face meetings, toolbox talks, newsletters, intranet postings, and digital communication platforms. • Open Zone Channel: it is important allowing team members to feel comfortable in asking questions, sharing feedback, and reporting issues without “fear of reprisal”. • Constructive Feedback & forwards: by providing regularly constructive feedback & forwards - in positive and negative terms - focuses on specific behaviors & actions as opportunities for improvement and growth.

For example, in the manufacturing industry, what is the objective of successfully fulfilling a contract for a client? We need to ensure the timely delivery of QUALITY products that meet the client's requirements and create value for money for them. On the manufacturing end, we also want to make money and ensure we bare minimum raw material wastage and rework, which only add to the unproductive time that could have been used for another opportunity (opportunity cost). Making this objective clear while having open communication and transparency, towards receiving and sharing constructive feedback, we may try to reduce some levels of conflict in communicating quality control expectations amongst the team.

Clearly outline standards, using specific criteria and examples to avoid misinterpretation. Provide comprehensive training on processes, tools, and evaluation methods to ensure clarity. Use visual aids like flowcharts, checklists, or dashboards to reinforce guidelines. Maintain open communication by encouraging questions and addressing ambiguities. Conduct regular briefings to review measurable standards, share updates, and provide feedback. Regular audits and performance reviews ensure alignment, fostering a culture of accountability and continuous improvement.

Maintaining clear communication about quality expectations is vital for consistent results. I start by developing comprehensive guidelines that outline our quality standards in detail, ensuring every team member has access to them. To reinforce these standards, I hold regular training sessions where we review expectations, address any questions, and discuss real-life scenarios to clarify application. I also implement a feedback loop, encouraging team members to share challenges or suggest improvements. This open dialogue helps identify potential issues early and fosters a collaborative approach to quality control, where everyone feels responsible and invested in upholding high standards.
