Here's how you can navigate a crisis or emergency situation as a team leader in food manufacturing.

Having a well-rehearsed, actionable business continuity plan is vital to properly responding to a crisis. This plan must be dynamic and personnel must be trained in their assigned roles and responsibilities so that its execution is almost like muscle memory. Roles and responsibilities must be clearly identified, and back-up personnel must be identified and trained. Understanding who the response personnel are and ensuring they know the actions they must take (and when) is critical to mitigating the extent of any crisis and allowing for the restoration of normal operations as quickly as possible following any event.

Communication is critical to any successful crisis response. This can be accomplished via automated phone messages, emails, or emergency information notifications to internal and external stakeholders. Internally, it aids in personnel safety (knowing if and when to evacuation, whether a crisis response plan has been activated, etc.), notifies response personnel of action plan activation (thereby protecting the continuity of core essential functions of the facility), and lets key stakeholders know an event has taken place. Additionally, it helps to eliminate rumors and allows the organization to be proactive in transparently mitigating any potential reputational damage from, the event and maintains the confidence of external stakeholders.

If your after action review identified gaps in your emergency management plan, they should be addressed in the plan and in training sessions.

Capturing lessons learned is critical in mitigating the potential damage from future crises. All response team members should attend scheduled meetings within a short period of time following the incident in order to capture actionable knowledge while it is still fresh. Discussing what went right, what went wrong (without attribution of wrongdoing or error) and what could've been done to prevent the issue puts everyone on the same page and allows for action plan development and updating response plans. Tasks are assigned to responsible parties, with established deadlines for implementation. The resulting response and the action plan must also be communicated to key internal and external stakeholders throughout the post-event period.

Knowing nothing about food manufacturing, I do have knowledge in navigating crisis or emergency situations as a team leader. As a team leader in these types of situations, one would leverage communication skills to ensure clear and timely information dissemination, coordinate resources effectively to address the crisis, prioritize tasks based on urgency and impact, maintain a calm and decisive demeanor to inspire confidence and unity among team members, and prioritize safety and well-being of your team above all else.

Rememer, you can’t mitigate a threat, but you can definitely reduce your vulnerabilities that lead to future crises. A good food security assessment program is an excellent way of identifying those vulnerabilities and aids in developing an understanding of where risk lies within mapped out business processes. This allows an organization to mitigate potential issues, as much as possible, well before they become manifest. Those vulnerabilities that cannot be mitigated can then be observed so that any potential problems can be identified as far in advance as possible. Involving and informing key decision-makers throughout the assessment process will also ensure they understand how the actions taken will assist in weathering any crisis.
