How can you adjust your sprint or flow cycle when the scope changes?

In my experience, when the scope changes during a sprint (avoid changing the scope in an ongoing sprint) or flow cycle, it's important to take a moment to assess the impact and prioritize the new tasks. We should ensure clear communication with our team and stakeholders to align everyone. Adjusting our backlog or flow cycle to reflect the new priorities is crucial, and it may be necessary to move less important tasks to the next cycle. It's also important to monitor progress closely and remain open to further adjustments, so the team stays focused and on track.

Transparency is the key to success. If the scope changes assess what will be the cost you are willing to bear for accommodating that. Communicate that to the customer and make them understand the reason why the scope changed and come to an agreement on the items that cannot be completed as committed earlier. Plan for the unknown and that can reduce falling behind commitments

This is an issue with change management. When a change comes in or is identified, write the specification first. Do not disrupt the sprint unless it's a critical feature. Then when planning your next sprint decide whether that ticket/change should be prioritized over the next body of features you had scheduled, and if it should trade out point values to adjust the overall schedule, communicate to the business, and move forward from there. Extending or adjusting sprint lengths isn't necessary and shouldn't happen. If it's a critical issue and you disrupt your sprint try to trade out 1:1 with a ticket that has the same point value and is already in the sprint but hasn't been started.

A) Kanban is not an agile method as it can be used outside of agile. B) many Kanban teams have regular Queue Replenishment meetings which is not that different to Scrum. C). This article smells of silly AI misunderstand of Kanban where it appears to represent Kanban as a lack planning and Strategy. But then goes onto ignore what Kanban is.

To deal with disruptions, I would say that Kanban is a game changer for agile teams looking for flexibility and efficiency. By freeing us from fixed iterations, Kanban enables continuous delivery, reducing waste and maximizing value. Kanban offers significant benefits for work forecasting: Visual Management: Kanban boards visually display work progress, highlighting bottlenecks and workloads. This clarity allows for accurate estimation of task completion and delivery times. WIP Limits: Setting limits on work in progress ensures a steady flow of tasks, preventing team overload. Consistent work flow leads to more predictable delivery timelines, aiding in accurate forecasting. Historical Data Analysis: Kanban enables collection of data on task completion times. This historical data is used for predictive analysis, helping teams estimate future task durations based on past trends, enhancing forecast accuracy. Kanban embraces the unknown's of forecasting.

With Kanban, we utilized a visual board with columns and cards to optimize our workflow. Unlike Scrum's fixed sprints, Kanban's continuous flow allowed us to adapt to changing demands efficiently. We pulled tasks based on team capacity and customer needs. Scope changes were smoothly integrated, respecting our Work In Progress (WIP) limits to prevent overload. This approach greatly enhanced our flexibility and responsiveness to immediate project needs.

Kanban is a great boon to teams that doesn’t stick to scope constantly. Eventhough Kanban does not have fixed length iterations & flexible enough for scope changes, it demands some discipline to keep the value stream beneficial & reduce waste. Keeping the cycle time low by limiting WIP is important ,to get an optimized flow of work & greater throughput

If the team is not able to plan a couple of weeks ahead, there must be something fundamentally wrong going on. Crashing an ongoing sprint should never be addressed as a viable option unless the consequences are drastic. The change to be introduced can be simply re-prioritized in the backlog to be picked up next sprint.

Before diving into adjustments, ensure you ask yourself why you're making changes and how they align with your team's big picture. This approach leverages the brain's response to achievement - the release of serotonin and dopamine, which boost mood and motivation. By completing these well-defined tasks, the team experiences a sense of accomplishment, reinforcing positive work habits and focus. Additionally, the norepinephrine released in response to these achievements helps maintain alertness and concentration, further enhancing productivity. Dear AI, preventing scope creep is considered serious crime against humanity in agile. After all, one of the principles of the Agile Manifesto says “Welcome changing requirements, even late in development. Agile processes harness change for the customer's competitive advantage.” Yes, customers change their minds, AI - never.

I feel that scope creep is the point where you ask yourself what the minimum viable product is. Product leadership should be owning that definition along with sales - and possibly with architecture (to give you a quick view on cost-benefit analysis). But it is important to communicate that reason to your delivery team. They need to know the why, the opportunity, the benefit.

Establishing a well-defined project scope and fostering a transparent, collaborative change management process proved pivotal. In agile settings, active involvement of customers and stakeholders in planning, along with prioritization, acceptance criteria, and clear definitions of “done,” played a key role. Take change as an opportunity. Change is inevitable. If the change does not happen often, growth is at stake. Understand the market changes and changes from customers.

In reality most programs have things running in parallel, ideally your requirements has to be outlined and frozen before the kick off for actual development. There may be changes due to 1. Maturity of requirements 2. Error in execution 3. Change in requirements A change control board should be created to assess and agree on the change and it must be documented for future reference.

One of the values of Agile is 'Responding to Change Over Following a Plan', so having teams that understand this principle means having teams that are more focused on delivering value to the customer than on changes. Hence, these are teams that will naturally react to change, as it is part of a constantly evolving competitive environment. Responding quickly to change makes us more capable, more competitive, and able to deliver better results

Working with managed evolution can really help accelerate and deliver lasting change that has a greater chance of sticking. By involving the whole team and adopting the general practices and principles of the Kanban Method will help guide you on your journey. By using the signals and data from the system, they can create informed experiments to change collaboratively leveraging scientific approaches to keep what is working and evolve where there is desire to improve. By avoiding big bang changes the team can drive change at a pace that is suitable to them with less likelihood of change fatigue and resistance as well as reduce the dip commonly associated with the J curve of change.

A sprint backlog is an emerging artifact, so scope changes or changes to the plan is possible as long as the Product owner and Team members are aligned about the change. However what kind of adverse effect this change instills to the sprint goal needs to be analysed. With changes in midway we often end up creating waste, PO must be clearly informed about the amount of waste that would be generated and whether these changes are valuable enough to accommodate that waste. Finally even though we can adjust sprint backlog frequent changes leads to an unhappy team and ineffective events. The outcome of events will not be valued.

Evaluate feasibility: Determine if the new scope can be accommodated within the current sprint or cycle. Prioritize tasks: Decide which tasks are essential and can be completed within the remaining time.

The simplest, and absolutely sure-fire, way to avoid scope creep is not to define scope at all. Start with a very abstract idea; the Product Goal or equivalent. Then look at things which add value, that progress the product toward that goal. Cut these things small and prioritize the highest value, and do the highest value things first. And deliver them. If you really are bound by time or money, then when you run out of time or money you will have done and delivered the highest value that it is possible to deliver in that time or for that money. You really shouldn't need to know what that eventual scope is in advance, unless you're working on things that are too low in value. Simple.

Scope creep can come from the bottom or top- due to a lack of requirements or understanding. The way this scenario is worded seems reactionary (it came from the top). In those cases, reprioritization and team communication are key. What changed, and what is effected? - Shift priorities - Reestablish timelines/releases - Trim the fat - Communicate It’s important that agile teams have the iterative empowerment to say “okay, we can deliver x-value now, but in doing so we’ll have to deliver y-value later”. The real challenge can be the PM/leadership accepting the trade-off. (If everything is a priority, nothing is a priority.)
