How can you identify and mitigate risks related to stakeholder engagement in a tech project?

I read this on a WhatsApp DP recently and it really struck a chord. "I used to think communication was the key to the success of a project/relationship etc, until I realized comprehension is. You can communicate all you want with someone but if they don't understand you, it's silent chaos." I'm sure this resonates with all. We would all have run into this chaos at some point of time in our lives. The point I'm alluding to is for a highly effective stakeholder engagement comprehension is the key. You may try communicating to them via all sorts of reports, dashboards etc but what is required is for them to understand and assimilate.

It always a stakeholder meeting, either by weekly or other agreed time. The key of mitigating risk, is to understand the project well and make sure have also update with the current issues. Very important if you notice there is an issue, you have also prepare solutions to deal with. The stakeholder just want to know the solutions, and dont like any surprise. I would recommend, you should have a pre-meeting with the team, to prepare before stakeholder meeting, as to mitigate whatever issues might come up

Stakeholders must be categorized into groups based on their ability to effectively mitigate project risks. This categorization is not influenced by their goals, roles, or responsibilities. Rather, it is determined by the specific risk group they may effectively manage with, which serves as the primary classification criterion. Once you have a clear understanding of the project stakeholders and the risks they may professinaly influence, your focus should be on ensuring that stakeholders, for example, do not insist on a particular technical solution that falls under the responsibility of the executive team.

Not all stake holders are equal.While a project May impacts a lot of people, key project holders stand out for the following reasons:- (A) They have decision making power to define the course of the project. (B) They have power to define what success means for the project. (C) Their decision affects larger group of people (D) Their level of satisfaction with project affect future business

Identifying stakeholders is crucial to ensuring project success. Stakeholders can range from team members directly involved in the project to external parties affected by its outcome. By understanding their roles, interests, and influence, you can develop a targeted communication strategy. Using tools like a stakeholder analysis matrix can provide clarity on whom to engage with more frequently and the type of communication each group might require. By recognizing and addressing their needs and expectations, you enhance collaboration and foster a more conducive environment for project success.

A birds eye view of the project along with approaching projects through different views- optimistic, pessimistic, balanced etc. can help assess risk from many dimensions. Role play is an easy but effective way for the same. Playing roles of suppliers, vendors, clients, authorities etc. can help in identifying risks from different angles. Better the risk assessment ensures lower uncertainties and better preparedness, ultimately leading to on time and on budget project completion.

On almost every IT project, I hear from the team that there is someone who is "lacking engagement." When I dig into the situation, I find a need for more clarity around the person's role and responsibilities and/or a severe lack of time. Having written roles and responsibilities is a good start. Reviewing those regularly, using phrases such as "who has this role" and "who has this responsibility," helps drive home the point that these roles and responsibilities have been defined. When there is a significant lack of time, we have either way underestimated how much time from the person we need, or we need to help clear their plate of other work. A visit with them and their boss usually helps. It's a give-and-take to get creative.
