In short, for the first time customers could place orders (instead of sending orders via email / Phone/FAX) , receive advance shipping notifications when shipment was being done. They could also receive invoice via EDI. On the other hand vendors could get purchase orders, receive goods movement information and send vendors invoices. Though EDI is still popular, companies are opening up information exchange via Web-services and API call.

Yes, EDI helps to transmit humongous data between systems without any major issues, greater speed. All we need to do initial setup by spending efforts, rest all will minor data problems which will be easy to fix. Nowadays APIs are trying to be used wider ways to do what EDI does.

Modern day EDI have evolved to direct access, such as API, even direct web injection and basically think of EDI as your pathway to automate data you would normally manually work or re-work. Defined formats have made it much easier to communicate and translate different languages from one system or interpretation, through a translator, to understand that language and to have an understanding at the other end. The more structured the EDI messaging format, the easier it will be to communicate and setup.

Apart from converting business data into data formats agreed by the sender and the receiver, EDI enables business partners exchange data securely and confidentially. Because all messages are going through the same EDI processor, implementation of data quality control and transformation is easier as well before it hit the targeted system's database.

This leds to a significant investment in development cost of translation. Any change to ERP (migrating from one ERP to another) as well as change in EDI tooling becomes a major IT undertaking.

Handling common EDI errors could be a simple task and it must have a defined standard operating procedure to do so. Choosing the right secure channel partner / EDI partner is vital and must have a good track record to secure transmissions and data.

I have seen companies struggle if they haven’t invested in right software, systems and right talent. Just having one of these things is not going to make any O2C cycle successful, you need all 3 or more than that to succeed.

Find the right partner if you don't have the EDI knowledge on staff. Stop listening to sales people making promises that the technical staff is not able to meet. You will cause yourself alot of headaches.

This includes ensuring technical flexibility and the maturity of involved systems, as well as a holistic understanding of both current and upcoming business requirements. You need implementation partners and/or employees with strong experience in the dedicated area, with portfolios of similar projects. Based on my experience, this is the only way to minimize the number of surprises, though it does not completely eliminate them. Than, during the continuous development of your EDI solution, it's crucial to allocate sufficient resources. Under the pressures of cost and time, a support team may prefer to "add a crutch," which actually accumulate technical debt.

EDI when Done correctly, can literally move mountain load of Work for Any organisation! But to Implement it correctly, Business, Functional and Technical teams have to work in harmony towards a common goal. Trading partners, EDI Connectivity softwares, Middle-ware Translation software and ERP are moving blocks of this EDI Architecture, having right technical prowess and openness to change management from Business processes is key for the Successful EDI implementation.

Challenges could come in many forms. Detailed analysis to understand translation, bringing the commercial aspect and the technical aspects together, could result in misunderstandings and it relates to longer project time lines. Also ensure staying on top of latest technologies and ensure updates are implemented on a regular and timely manner.

Effective EDI implementation requires proper data and process governance in every business partner - continuous collaboration is important. The quality and timeliness of data capture in the upstream process or system is key for successful O2C implementation. Often time, due to inefficient upstream process, the next process/system become the victim of system problem, workaround, enhancements and etc.

In my opinion, EDI is not a Magical Wand which will fix and make your OTC cycle efficient in a single stroke! First Businesses have to optimise the OTC cycle which is working AS-IS, make it more efficient, Identify which areas are repetitive and ideal for Automation, where most Manual Errors are happening.. Once AS-IS process is identified then Start your Transformation Journey towards a better, automatic and efficient TO-BE EDI process.

Without the need, any further discussions could drag out scope of work and potential re-work. Talk to EDI experts and use the right technology to interface more efficiently. It's no point to embark on an EDIFACT integration, where you can work with a simple API integration.
