O planejamento de um evento é muito importante obviamente. Mas mais do que isso, um cronograma alinhado com toda direção e áreas da empresa é imprescindível para que uma área não canibalize a outra.

Por mi propia experiencia, se que muchas veces no se puede trabajar con tanta anticipación como nos gustaría. Por eso, lo que me ha funcionado siempre es tener un esquema muy claro de los hitos del evento, con los puntos principales de cada uno de ellos y rodearse de grandes profesionales (proveedores) y trabaje directamente con ellos. En cuanto al equipo de la empresa, creo que lo más recomendable es tener una reunión inicial donde se distribuyan las tareas que correspondan a cada departamento y los tiempos asignados además de nombrar a un responsable que se encargue de reportar al organizador. Y por supuesto, llevar un control cada “x” tiempo de los avances. Lo más importante es ser resolutivo y aportar siempre soluciones.

There are so many tools out there to help support you to prioritize and delegate task accordingly. But first your human capability is equally as important to help identify those tasks and the success it would make at your event. Unexpected challenges happen in the assistant role constantly! I remember managing a Board offsite at a hotel. Their restaurant was always open during lunch. I arranged meetings to take place at the restaurant before our Board meeting. I learned at the last minute that the restaurant had changed it's hours and only served breakfast and dinner. YIKES! Don't be afraid to pull out Plan B.

As in all things, self-care should take priority over everything else, and it's very easy to get burned out in event production. Sleep, water, proper eating, stretching, and deep breaths: all of these help focus, energy level, and mood. It's also important to let things go. Event producers might have 20 tasks and only 15 get done before it's SHOWTIME. That's usually ok. And you learn with experience better priorities on the task list (and how to delegate).
