How can you use data to solve problems?

This proactive approach ensures comprehensive preparation and enhances the data's applicability. Selecting the appropriate analytical methods and resources is also vital. Knowing exactly which data to collect streamlines the process, saving valuable time and effort. After meticulous data management, delve into analysis to extract meaningful insights. Keep in mind, solutions derived from this process may not be final; staying receptive to feedback and new information is key, as they can significantly refine your understanding and lead to more effective solutions.

Effective problem-solving begin with identifying the right problems. Data driven insights often offer a more accurate process. Begin by clearly defining the issue and identifying relevant data points. Collect and analyse quantitative and qualitative data to gain insights and identify patterns. Utilise this information to formulate informed decisions and strategies. Ensure the data is accurate, up-to-date, and aligned with team goals. Lastly, communicate findings transparently to engage the team, fostering a data-driven culture that enhances problem-solving capabilities and drives continuous improvement.

It’s important to get to the true definition. Using 5 Whys can help get to the specific question or problem statement. Next is making sure the data being collected is the right data. Too much data that help answer secondary questions (or none at all) can dilute the time and answers being sought. Keep it focused and concise. Finally, it important make make sure the data is clean. The commonly used “garbage in = garbage out” applies to how data is collected. Have good processes in place to monitor and ensure good data is entered and can be used for analysis! In the end, good data doesn’t lie!

Analyze customer feedback, interview transcripts, or open-ended survey responses using thematic analysis or content analysis techniques. Don’t be afraid of what the data are telling you. Bending the data to fit your narrative is not going to help you. When you really become a data driven problem solver, you will also learn a lot about yourself.

Analyze data to help you further define the problem. Often we define the problem differently, and better, if we consider the story our analysis of the data provides. For example, I recently had a team member send me, via email, possible solution after solution. All of these ideas were welcome, although sending separate emails with each possible solution was distracting. I found the possible solutions proposed by the team member to be assumptive of the real problem. After further analysis of the data, we were able to better define the problem and define a more impactful list of possible solutions.

I’ve had the good fortune to engage in conversations with high level executives about the analyses of data and I’ve found that the “human” side of data is frequently overlooked for the numerical side. Data can certainly quantify outcomes and prove business cases, but when it comes to attempting to anticipate/predict probability… data without “human” often becomes misleading. Don’t get lost in just the numbers and make sure to ask yourself what have humans done before, because chances are humans will do it again… especially if it provided them with a positive outcome/feeling.

I would say Generate Options rather than solutions. The desire to solve a problem gets us into convergent thinking or to the most obvious alternatives. On the other hand, be open to options that may not appear like solutions at all - crazy ideas... even if they are eventually ruled out, at least you went beyond the obvious

Utilize scenario planning for each proposed solution. This involves creating detailed scenarios of how each solution might play out, considering various external and internal factors.

Data usually always has an answer to most problems. Especially in today's world when all the systems generate a humungous amount of data with every tick of the clock, it's important to first accumulate all available sources of data, create a meaningful pipeline, and make sure that you get updated data regularly. This will start showing you trends and you could effectively start generating solutions - from simple business challenges to funnel drop-offs to UX problems and so on. At this time, you would be at a perfect position to prioritize the required steps to arrive at a solution based on what's feasible and what isn't.

Leverage Data Analytics and Business Intelligence tools such as Tableau and Power BI for actionable insights. Its important that senior leadership realize the long- term benefits of implementing real time data visualization technologies. This is a crucial for any organization that strives to be a data- driven decision making for improvement. Invest in subject matter experts resources and IT infrastructure to build a sustainable businesses and organizations. Lastly, end users education and engagement to implement and conduct continuous retrospective review.

With the insights gained from data analysis, we brainstorm potential solutions. It’s a creative process, akin to sketching various designs before choosing the best one. Here, quantity leads to quality, as the more options we consider, the better our final solution is likely to be.

When rolling out our new network security solution, the data was our roadmap. We set clear, specific goals, and monitored real-time feedback, tweaking the system as needed. Our data-centric approach meant every decision was measured against set performance indicators, ensuring not just a successful launch but a sustainable one. We saw firsthand how the right data drives efficiency and effectiveness in solution implementation.

Continuing with our previous example... Identify the most likely solution to your problem and implement it. However, it's important that you attempt to implement one solution at a time. If you change too many variables at once, you could induce new issues and not know if you fixed the original problem. When trying to solve complex problems, a methodical approach is the best way to ensure success. In our software example, make the grooming change and see if you get different results in the next sprint. If you do, and they're trending the right way, keep that change in place. You can consider making another change as well, now that you feel confident in the first solution. If the change didn't improve things, remove it and try again.

This is where planning meets action. Similar to a chef following a recipe, we take the ‘ingredients’—our data-driven solutions—and ‘cook’ them into reality. Careful execution and adjustment are key, as even the best plans may need tweaking when confronted with real-world conditions.

Implementing solutions derived from data-driven insights involves: Action Planning: Develop a structured plan for implementing the selected solution. Monitor Progress: Continuously monitor implementation progress using relevant metrics and data.

Once you have solutions that are well vetted and improved by the experts, force rank prioritize them based on impact & effort. Whatever will earn you the most benefit for the $ of spend or hour of time required for the solution should be your first priority to implement. Force rank prioritize the solutions and implement them (possibly in parallel if you can) if they have a good ROI or strategic value.

The effective problem-solver will have to learn to leave his/her ego at the door and be open to internal and external criticism. Healthy project management teams will actively seek feedback, positive or negative, and learn from those sources. Notwithstanding the chronically "cranky" people one works with, there are often insights to be gained from a less-than-favorable critique. Just as important is customer/consumer/client feedback; if a "solution" is not resonating with the external audience, it may need refinement and/or improved communication with the stakeholder. All "evidence-based" assessments should be welcomed.

Continuing from our previous example... Now that you have implemented some solutions, continue to monitor your data and solicit feedback. In the case of our software example, talk with the team and see what they have to say. If they're in agreement that the change has made things better, you can feel pretty confident the improvements will last. On the other hand, if they have suggestions to adjust the implementation, listen to what they have to say and work on any reasonable modifications. Keep that process going, in an iterative fashion. Finding issues, learning why, trying solutions and getting feedback. Continuous Improvement is a viable strategy.

Learning and feedback are crucial components of problem-solving. Continuously learn from the data you collect and the outcomes of your actions. Implement feedback loops to adapt and refine your strategies based on the evolving situation. Regularly assess the effectiveness of your solutions and be open to adjusting your approach based on new information and insights. This iterative process of learning and feedback ensures that your problem definition and solutions remain dynamic and responsive to changing circumstances.

Do we (organizations) do this well? Do we survey our teams on the success of a solution? Do we provide the space to talk about it without negative judgement? We find that the feedback loop isn’t always connected or sometimes doesn’t involve everyone (maybe we survey customers or just some key stakeholders but not the entire group etc.) This is one area I am working on to improve next year. Let the team know this space is open to discuss disagreements professionally. When we survey, make the questions opened ended and anonymous - so people have a way to express their thoughts (tends to be more truthful) Finally, listen to the feedback (don’t just ask for it) but what things we can do and implement based on what feedback we received.

In the Army, we are taught to use After Action Reports, or AARs, to receive and provide feedback. It's simple yet highly effective. At the end of a project, mission, event, or other new undertaking, the responsible officer/NCO provides the opportunity for soldiers to provide feedback on sustains (what should stay the same) and improves (what should change) the next time they take on a similar undertaking. These suggestions are all taken into consideration, and provide leadership with solid intelligence from various perspectives to consistently improve procedures, methods, and overall capabilities while simultaneously providing those not in direct leadership the opportunity to be heard.

When I first saw the title, I thought, "How do you solve problems without data?" So, I dug into some advice on what to do when you're running low on data, and guess what? A big chunk of it was about finding ways to gather data— through research, surveys and feedback. Without it, we resort to relying on anecdotes and trial-and-error. This article serves as a reminder to business leaders: prioritize gathering meaningful data. Even if immediate analysis seems challenging or results aren't crystal clear, the long-term value of amassed data only grows over time. It's akin to building a comprehensive marketing toolkit – the tools you gather today may prove invaluable in future strategies.

Data to Solve problem - Data is an indicator, a trend, a movement, a position - Problem can be static or dynamic - Data can be used to solve problems by providing insights on what's working well and what's not - Important to note that unbiased usage of Data is paramount towards identifying the real cause and effect of any problem or a situation - The same Data projected wrongly could lead to wrong actions - Thus, Data is not just new oil but also water, which when pure can be consumed to quench thrust.
