How do Venture Capitalists manage their portfolios effectively?

At Headline, on top of traditional VC sourcing, we have developed software called SeachLight, to track a vast number of potential investable projects on the Internet. Altogether currently we monitor over 7 million projects using approximately 200 different data sources. This data and AI infused approach allow our global team to look at more than 10,000 deals monthly. We invest in technology companies but as VC we also need to become more technology enabled. That’s our approach to sourcing.

Sourcing and screening deals is the most important part of the venture capital industry. At StartupLanes we have specialized teams for each sector. We keep on sourcing deals from multiple sources to create a large pool of fundable startups.

How one runs their dealflow depends in part on the stage that they invest at. In our instance, at Eoniq.fund, we invest in Spanish based founders at very early stages, and as a result almost all our dealflow is inbound. It is very complicated to successfully identify projects at very early stages using outbound techniques, over and above active collaboration with accelerators, pitching competitions, universities and the like. At later stages, startups appear in databases (e.g. Crunchbase) and in press reports, and it is easier to proactively identify investment opportunities using outbound techniques.

A critical component here is the development of a proprietary deal flow. This involves not just relying on public pitches and competitions but cultivating deep networks that can provide access to deals before they hit the broader market. Additionally, the ability to quickly and effectively screen deals is crucial. This involves developing a robust framework for evaluating a startup's potential, which often includes a mix of quantitative analysis (like financial projections and market size) and qualitative insights (like team strength and product uniqueness). Experienced VCs often develop an intuitive sense for identifying potential, honed through years of evaluating countless startups.

Based on my experience as a VC in Latam, the best sourcing typically comes from influential people in the ecosystem. Successful founders introducing a friend who’s starting a business, other VCs when we share deal flow, and top tech execs who want to dive full time into entrepreneurship. That’s why cultivating a rich network of people is crucial, and of course it only works if you give more than you take. That said, I recommend to young VCs to look inside and find a way to enrich the ecosystem: share your learnings here on LinkedIn, write a newsletter, create a community of founders or investors (or both). The more you give, the more you will get back.

At StartupLanes our Portfolio Companies become a crucial part of our family. We keep on connecting them to potential vendors to reduce their cost and on the other side we keep on connecting them with the potential buyers to increase their sales. As the revenue increases, we advise them to enhance the profits in order to hit the stock market through the IPO.

As a pre-seed to seed stage fund borne out of an accelerator, our approach to post round support is grounded in a 12 month plan process. It starts with a review and refresh of the portfolio company's strategic plan, updated 12 month plan and KPIs, and an alignment of Spring resources including mentors, EiRs, learning content, partners, and support. Typically we have multiple ad hoc weekly touchpoints along with monthly advisory calls. We will also sit on boards as observers and members where appropriate to the deal. The approach is bespoke and designed to maximize our support and value to the company in the critical first 12-18 months post investment.

Checking in the with the Founders every month or so, and connecting them with valuable resources when opportunities--e.g., networking via investor, talent, and high quality services helps build value together.

For me, and the rest of the team at Eoniq.fund, this is the main key to success. There are so many parameters at play in a company that it is impossible to predict future success (or failure) with a high degree of accuracy. Quality dealflow generation helps make choose from a better pool of candidates, diversification helps reduce the risks involved in investing, and in depth analysis helps reduce the number of false positives (although it can also increases the number of false negatives!), but supporting your portfolio effectively increases the probability of success, and reduces the chances of failure more than any other single measure. To do so optimally you obviously need good reporting however (something to bear in mind founders!!).

Successful exits require both timing and strategy. This often involves understanding market cycles, the competitive landscape, and the readiness of the business for an exit, be it through an IPO or an acquisition. Experienced VCs often leverage their networks to identify potential acquirers or to gauge public market appetite for an IPO. They also work closely with the company’s leadership to ensure that the business is presented in the best light to potential buyers or public market investors.

In my opinion, just like in any other type of investment, diversification is key in VC. This means investing in a variety of startups across different sectors and stages of development. In my experience, VCs typically can achieve this by hosting ongoing quarterly calls with LPs and sending out bi-weekly LP email updates as a newsletter. There are VCs who'll host live events for their LPs to report their portfolio performance. Overall, every VC needs to have an LP management system that'll help track and consolidate LP portfolio reports and updates.
