How do you design and optimize the layout and flow of your event venue?

From my experience, designing and optimizing the layout and flow of an event venue starts with understanding how you want attendees to move and interact. Think about key areas like registration, main stage, breakout rooms, and networking spots, and make sure they’re easy to find. I always create clear signage and use open spaces to avoid bottlenecks. Walk through the venue as an attendee would to spot any potential issues. Also, consider where sponsors or exhibitors will be, making sure they get enough traffic. Finally, work closely with your vendors and tech team to ensure everything, from lighting to seating, enhances the overall experience.

Focus on the value you aim to provide. What would a successful event look like, and how would attending benefit people? Empathize with your target audience: If I were attending this event, what would I look for? What would excite me? What would I tell everyone about the next day at work? Maybe it's the informative content, or the interactive sponsor booths, or the 5-minute yoga breaks in between sessions. Maybe it's the great food, or the unique location, or even the fact that it's remote and recorded. Begin with divergent thinking to consider all possibilities, then move to convergent thinking to whittle down the options into an organized plan that aligns your objectives with your audience's needs and interests.

O formato da montagem do evento (espinha de peixe, auditório, escolar, meia lua, etc) deve estar adequado às necessidades e objetivos do evento. Por exemplo, se a ideia é de que os participantes façam anotações não se deverá escolher o formato auditório (cadeiras sem mesa), assim como para eventos com mais de 30 participantes não seja indicado formato de montagem em U (as extremidades não escutarão bem os spekers).
