Your team is working remotely. How can you keep everyone on the same page?

In navigating remote work challenges, fostering transparent communication is pivotal. Implement a dynamic virtual hub where team members share updates, progress, and challenges. The biggest problem arising in teams is the lack of discussion and communication. While taking up a project it would be helpful to have a team discussion even if it contains the interns of the group. Pick the each ones ideas and accumulate them into the execution plan. It will put responsibility on the whole team to get the best results. More important is to clearly demarcate duties according to their strength.

Craft a compelling narrative. Develop a captivating story that resonates with your team, articulating your mission and values. Encourage open dialogue. Foster a culture where diverse perspectives are welcomed and valued. Celebrate success collectively. Acknowledge and reward achievements, both big and small, to maintain motivation.

Personal communication with colleagues has been my favourite tool to ensure work goes on seamlessly. When asked about project updates in a group, keeping the tone humble or neutral helps in establishing the tone of a team spirit at the same time makes the other person understand accountability. Even if the submission gets slightly delayed due to some person, it is not okay to raise your voice without giving the other person a chance to explain themselves.

Here's how you can build trust and rapport: 1) Demonstrate integrity and consistency in your actions and communication. 2) Show genuine interest in your team members' concerns and ideas. 3) Create an environment where mistakes are seen as opportunities for growth.

Offer resources and support for ongoing skill enhancement. Tailor training programs to individual strengths and aspirations. Encourage team members to share their expertise and experiences.

Accommodate different working preferences and schedules. Actively seek and incorporate suggestions for improvement. Be ready to pivot strategies based on evolving circumstances.

My view is that we should stop micro managing the employee once the task is assigned. It's better to set a deadline much ahead of the actual submission to cross check if your requirements have been fulfilled . It is also important to give sufficient time for task completion than give a last minute deadline, unless it's an emergency. Even in case of one, give a reasonable space for the employee to work than cramping them up with other less priority tasks at the same time. I generally prefer using Google tasks to assign or space out work I have in hand. It reduces the last minute stress. Build a suitable time gap to discuss for any changes and let them do the rest.

If the team is engaged in effective and regular communication, the belief that each individual is at an adult responsibility level is maintained. Conducting weekly update meetings, communication activities and even 15-minute daily meetings applied in agile transformation processes using tools such as Zoom, Teams, Meet helps keep them active. In addition, using Trello, Asana, Jira for task tracking and real-time updates facilitates both delegation and workflow. If available, utilizing internal communication management systems can also streamline these processes, while supporting the social interaction needs of individuals through training and organizations is crucial. Feedback and improvements for each should be on the team leader's agenda.
