You’re in charge of a project deadline. What’s the best way to avoid common mistakes?

I distinguish between deliveries and project goals. The goals (or success factors) describes what it takes to make the steering committee (and other relevant stakeholders) declare the project to be successful. These are rarely deliveries, but the top priority benefits. And, most important, these often changes over time, so they must be revisited at each steering committee meeting to ensure that everyone still agree regarding the priorities.

In order to avoid scope creep, sometime exclusion terms are of the same significance as the inclusion ones. Specifically, when the marginal items i.e. subjected to borders of battery limits and/or scope of other contractors is the subject matter, a comprehensive and clear exclusion list would be of usefulness.

Clear Communication: Ensure everyone understands goals, timelines, and tasks. Thorough Planning: Create a detailed project plan upfront. Realistic Timeline: Set achievable deadlines based on accurate assessments. Regular Monitoring: Track progress and adjust as needed. Risk Management: Identify and address potential risks promptly. Resource Allocation: Allocate resources effectively to prevent bottlenecks. Flexibility: Be ready to adjust scope or timeline if necessary. Stakeholder Involvement: Engage stakeholders for feedback and support. Documentation: Maintain clear records of decisions and progress. Continuous Improvement: Learn from each project to enhance future ones.

Have ten minutes end of the day meetings of Engineer, Supervisor, Subcontractor and Workmen lead. Structured Agenda -- Taking stock of Disablers & Enablers of work progressed during the day. Pre-planning for the work targetted for the next day and Coordination required during the day for making resources from common pools available to the different teams without delays. No blaming, no dragging by unnecessary conversations and justifications. Just what got done and what was disabled or enabled the shortfalls or enhanced progress. Five minutes for the above and the balance five minutes for next day's activities. Do this religiously and objectively for a month a nd see how things change,

Breakdown of Tasks: Divide the project into smaller tasks or milestones. Realistic Time Estimates: Estimate task durations realistically, considering potential delays. Efficient Resource Allocation: Allocate resources wisely based on availability and expertise. Buffer Time for Contingencies: Include extra time for unexpected issues. Monitoring and Adjustments: Continuously monitor progress and adjust as needed. Clear Communication: Communicate schedule clearly to all team members. Regular Reviews and Updates: Review and update the schedule regularly.

There is nothing like a realistic schedule for a project because each activity gets delivered based on a host of things including the uncertainties operating at those points in time. So activities are to be scheduled on a daily basis and continuous improvements acheived to finally advance the project
