File organization is very crucial to locating and preserving your files in the future. In the past, we had this normal transition from Corel to Adobe Illustrator, and in this line, PDF files were the best solution to find a smooth transition. Besides the last file format you use, have in mind a way you can organize according to client profile or some project specifics. Have a file always on the computer and some other in the cloud... if you have a somnambulant night and you delete it occasionally or someone gets into your session to make a nightmare for you!

One thing I have found extremely helpful is finding a ‘DAM’system that is both user friendly for clients to access and for us to look after the backend of the site in terms of rights management and uploads etc. Also to work out costs in a way that makes it affordable for large amounts of data being transferred daily. We scanned the market and ended up using BOX.com which is second to none for value. However, recently we have found that our customers are now requesting we use Microsoft 365’s OneDrive and SharePoint for security reasons. Nowhere near as user-friendly but we have had to do what a client asks of us particularly when they are large corporations.

Addresses the problem from two perspectives: - Metadata and Documentation: Include a README document or a Notion page explaining the folder structure, naming conventions, and any standards that need to be followed. This is particularly useful when the team grows or a new member joins the project. - Automation: Use tools like Zapier or scripts to automatically move files to the correct folders based on certain rules (e.g., file extension or naming patterns). Also use in your agile methodology design plugins: Tools like Figma or Zeplin can export and organize assets automatically by resolution or format.
