How can you adapt your presentation style for different team venues?

Knowing your audience is a fundamental aspect of effective communication, marketing, and relationship-building. It allows you to tailor your messages, adapt to diverse preferences, and ultimately achieve your communication or business objectives.

In my experience, the most effective presentations focus on the specific problems your brand can help the client solve. Your content should be less about you and more about the value you bring. In order to achieve this, you need to understand your client’s business—researching their products, positioning, competition—and use that information to tailor your content and personalize the approach.

In my experience, getting to know your audience is worth the investment of your time. In order to want to be successful in your presentation, you need to gain the trust of your audience. Find ways to engage them and make them feel a part of the presentation if applicable, will help them feel like you are truly seeing them and listening to their needs/interests. This goes a long way when you want to influence, gain their cooperation and their trust in you.

When I was 9 y/o, I had my first high-stakes presentation. My first high-stakes presentation was in my childhood home's living-room, with all content displayed on a A4 sized paper. I presented in front of my parents, who held veto power over every important decision in my life back then, such as, whether I could go for a sleepover or not. I do remember that my presentation material was rather simple; some loosely drawn figures, dabbled in colors, with cursive text outlining the page. The lack of substantial material did not hinder my chances of convincing my parents - the audience. In fact, what worked in my favor was that I knew my audience; I knew exactly what to appeal for in front of my parents to let them make the decision in my favor.

Getting to know your audience beforehand is a big deal. People in the crowd have different needs, and they're likely looking for specific info based on their roles. If your presentation doesn't hit the mark for them, you might find yourself fielding questions or getting a closer look under the microscope during your talk. So, it's like making sure you're on the same page from the get-go.

I have found it helpful to learn some AV tech. From which wire to use to how different wireless connection software works. Some knowledge of microphones and speakers is also useful. Then you can often troubleshoot some of easier issues without have to wait for the tech team to turn up.

Auch ein Quiz ist möglich. - Mit der „Spiele App“ in Teams ist ein Ice Breaker Modul enthalten, mit dem man sehr interaktiv eine erste Fragerunde durchführen kann. - Mein Lieblingstool ist Mentimeter. Hier kann man Fragen oder auch ein Quiz durchführen und die Teilnehmer können am Handy antworten oder direkt im Meeting. Für hybride Meetings ist dieses Tool sehr gut geeignet.

Choosing a format is necessary to enable a hassle free presentation. Your audience would be able to have a better understanding only if they are getting served with an adequate format.

I believe the format of any presentation is "a story". Begins with the status quo, identify the tension, insight the solutions before offering them & then describe a "happily ever after". Also, if your presentation is more than 30 minutes with a remote or large (or both) audience, it is important to add interactive elements - a poll/ a pop-up quiz/ a film or even a GIF !

Adjusting delivery is super important to guarantee an effective presentation and message delivery to the audience. I do believe that one of the most important part of message delivery to different audiences is facilitation, in my perspective facilitation is a good way to establish a connection between presenter and audience, it can help to drive more engagement and interactive presentation both live or even offline.

Agree about the delivery adjustments above, however adding to that the presentation Venue is the core/Major component to deliver it well to the right audience in an easy way. And the activities will differ definitely from venue to another for example the large venue with large physical audience will avail more physical team activities with a comfortable spaces to do so and deliver the content into experimental practice. Also if the venue is a small we might have inplace activities or individual activities to keep people interactive and focused.

Some delivery adjustments to consider. "Big Stage" venues: Because it's harder to see you from the back of the room, use larger body language (full use of arms rather than nuanced gestures), more extreme use voice (longer pauses, higher & lower tones, etc.). Online: Turn on & look at your camera! Deliberately show your hands & gestures. Use more animated expressions & voice to make up for the fact they can't see most of you. Team Presentations: Reduce content to create more time for your introductions, handoffs, and handling interruptions & questions. Deeply practice these in addition to your individual content. All: Practice in the same or similar venue to get comfortable with the space (or the online platform).

Something to note here: Everyone has their own style. No matter how many times I teach you how to jab or hook in boxing, you will throw it slightly differently to me. The same with speech and presenting. You might be good with hand gestures, but not so great at doing facial expressions. That’s OK! Understand the core principles of the message you are trying to convey, then use your best resource to adjust your delivery accordingly. For example, I tend to use my hands a lot when speaking. So if I want to slow down my delivery, then I will slow down my hand movements and the rest will follow accordingly.

Last year, I was invited to organise a team presentation and the first thing I did was visit the venue where the presentation was supposed to be held. It happened to be the board room. Considering the space and the expectation of an interactive session, I ensured that I do not add too many points in my slides so that there is enough time for discussion. If it is a big auditorium where voice echoes, speak slow & give adequate pauses. Adhering to time lines is a litmus test of a good orator and the same requires knowing your environment well. If the content is planned well, you are aware about the skill-set your audience carries, and the technicalities of your environment, the odds of falling short of time or exceeding the time minimises.

Absolutely true. The point that I make sure while giving presentations is to know when to give pauses and breaks that can help to maintain the pace of my speaking time + trying to complete 5 mins early the time such that it can be open for discussions.

Preperation is the key, you need to prepare after the initial discussion on the clients requirements. It makes you look like you know what you're doing and presents answer to their problems.

Similarly, if you are presenting offline, you might need to check the venue beforehand and make sure you have enough space, equipment, and lighting. This will help you avoid any last-minute surprises and ensure that your presentation goes smoothly.

Practice your presentation several times using different approaches where questions are held at the end. Or questions are handled throughout the presentation. Either of these situations can impact the time or focus of your presentation, but you should be prepared an either scenario

Feedback is the best way to improve yourself. You should ask for feedback whenever possible. It also makes your audience feel that their opinion is taken care of.

One of the best ways to know where you need improvements is through feedbacks. Feedbacks should generally be taken from everyone who has heard to your presentation, taking it from Diverse group of audience would be really helpful, as it replicates the perseverance of multiple individuals. Having said this, One should always keep in mind that making everyone happy is close to impossible, but it's is very much possible to improve in multiple aspects. Having many points of view, to your presentation would definitely tell you a lot about yourself, and how you are perceived. These often lead to perspectives that help you develop yourself.

When I do presentation to the large audience, I always ask feedback from my manager and my colleagues to make sure and understand their point of view as an attendee to be able to improve on my next presentation

Constructive feedback is a valuable tool for self-improvement. Commenting and suggesting for improvement can be a means of fine-tuning and growing simultaneously. The objective of this type of feedback is to elevate a good idea to greatness. Contributing to something and/or massaging' it is a way to achieve a better outcome or result.

Feedback is last key element in entire communication cycle which starts from sender to medium to message to receiver to decoding message. Taking and accepting feedbacks helps in following different ways : - to understand if message/topic you wanted to deliver has reached to audience - to understand gaps in your data/knowledge - to understand improvements in terms of communication mgt - to learn new things, new or different insights from audience - it also acts as a gesture which creates lasting impression - key action points can be worked out for next presentation while receiving feedback - provides an opportunity to interact one to one with audience/mentors or peers informally - boosts your confidence for future

Know your presentation. Backwards and forwards. Practice the material over and over like you are a stage actor. Do I say this so you can roll through the way you practiced without hiccup? Not at all. In fact, my most successful presentations were the ones where I could feel the audience gravitating to certain aspects and not being concerned with others. Because I knew the material and believed in it so much, I would pivot slightly and dig deeper into what I could tell they were responding to. Just like a good actor listens to their scene partner, you have to listen to your audience. In this show, they are your scene partner. Listen to them and make them look good.

I have always found that 2 strategies work wonders. 1. Storytelling: Making sure that you deliver your presentation like a fluid story is a great way to ensure participation and interest. Using names of the audience members to address them, asking quick questions, and being a little humorous goes a long way. 2. Human Connect: Ensuring a natural and humane connection with the audience helps. Treating the audience exactly how you want to be treated is a way you can gauge their emotions and interest level. Making them feel comfortable and a part of the session is critical.

Remember to have backups in case the way you present doesn’t work out. - Maybe a physical print of your PowerPoint slides in case their projector isn’t working - have your slides backed up in Google Slides and/or PowerPoint - Store your presentation on a USB - Email your presentation to yourself

One thing I've found imperative is connecting with your audience. Connecting with you audience is all about establishing a meaningful bond. It involves understanding their needs and expectations before delivering your presentation, engaging with authenticity during the delivery, and creating content that resonates with them on a personal level. Building trust, active listening during questions and comments segment, and addressing their concerns are key elements in fostering a strong connection that will leave the audience relating to what you had prepared for them.
