How can you improve the quality review process?

The initial stride in enhancing the quality review process involves standardizing the procedure, delineating its key performance indicators, and specifying the review frequency within the system across the various levels of matrix. Validation of formats, resources, and competencies throughout the system and organization is imperative to ensure transparency in expectations and reporting. Consequently, the review process should be augmented by establishing a robust channel for feedback between the performer and the reviewer. Technology for data capturing and analytics should be used to have proper interpretation and insights available for review

In addition to full understanding of CQAs, CMAs & CPPs, we should build a Product Control Strategy (PCS), where a clear evaluated link is established between each CQA(s) & CPP(s), this can be in the form of a (blob diagram) and it forms the final output of PLM stage 1

To improve the quality review following must be very clear: 1. Requirements (CQA) 2. Process knowledge (CPP) 3. Associated risks

Para hablar de calidad debemos conocer la cultura de quienes llevarán a cabo la revisión del proceso y ésta debe estar totalmente alineada con la del cliente final. Porque planificar la revisión, conducirla, reportarla y revisarla, llevará un "estilo" con recursos asociados. Así existirá una manera de hacer las cosas, un tiempo adecuado y un presupuesto. En mi experiencia, habiendo transitado por varias organizaciones, aun cuando aparentemente se trataba del mismo proceso, entendí que cada organización vive su cultura de calidad y la siente de manera distinta.

In fact, in quality review mechanism, a person who is having deep insights of the subject, previously practically worked over the process or having the deep insights of the document should be involved. Either preparer or reviewer of the document should have practical experience, what is being reviewed by her/him. I saw at many places, the core QA guys are simply involving in word document formatting, sentences corrections etc. instead of imparting any technical input to document.

Preparing for an airworthiness review in aviation is like getting an aircraft ready for a safe journey. Imagine bringing in a new plane; the review involves picking the right tools and having skilled maintenance folks do thorough checks. These maintenance experts, familiar with the plane, take on key roles for a thorough evaluation. Good communication is crucial, much like in maintenance tasks. Setting a schedule for review activities and using resources wisely, similar to planning maintenance, keeps things running smoothly. Recording the plan and findings, like keeping maintenance logs, helps for future reference. Basically, a well-prepared review by maintenance folks ensures the aircraft is reliable and meets all the rules.

It is important that the right people are involved in the review process. The people with the tight expertise , experience ,dedication and skills mix will deliver attention to detail in the quality review process.

As part of the review plan, I consider elaborating a quality check bar spreadsheet based on the corporate and regulatory requirements, and process flow. Then, communicate it to the process teams, ask for feedback, and review accordingly. The quality check bar will align the review expectations with stakeholders and will certainly increase the right first time for any review. Moreover, the quality check bar will add value to the knowledge management process as well as will bring consistency to the review process.

It is important that once the goals and objectives are set it is agreed the method that will be used to ascertain success. Both employee, manager and HR have a responsibility and a duty of care to ensure that all parties are cognizant of the objective to be achieved and to provide the necessary resources to get there. At the beginning of the process the review period and the expectation should be outlined so as to reduce any ambiguity. For example most organizations may have review periods as follows- a probationary review and every quarter there-after.

Whole processes related with quality review should be carried our in accordance with a reasonable and applicable procedure. No need to say that quality review activities should be carried out well trained people in charge. It is very important to use related data and careful site observations and visits during quality review activities. This is not a breucratic activity. It is a technical subject and analyticsl thinking is necessary. Otherwise whole quality review actions will turn into huge waste of time, energy, money and motivation.

Nothing more efficient than first out put review and inline inspection at specific operation to collect data for analysis. By comparing the semi product against each operation quality standard, we can imidiately work on improvement at early stages to ensure out put quality is controlled.

Quality review is different than quality audit. Quality review uses the feedback, data and comments that were obtained during quality audits. Quality review should be conducted with highly comprehensive manner.

Quality review reports are usually prepared in poor quality. As for me, quality review and audit reports are very important and should be written precisely and neatly with grammatically well organised manner.

Accountability and responsibility of the stakeholders in resolution of action items must be honoured and enforced in the process. Else, it becomes repetitive Sisyphus' tasks.. One way to do it is through tie-ins of the action items with the key responsible persons performance review (KPI, KRA etc) through a fair mechanism.

When implementing and monitoring the success of the actions taken those steps have to be clearly identified and presented to those whose quality of service is being monitored in first place. We need to ensure that those individuals,if speaking of service that department is offering to customer, are aware completely of each step that needs to be taken while improving the service. Often we can see plans put in place but very little action taken or it gets delayed one way or the other. In order to minimize friction in the business, the machine must be well oiled,and if the integral part or people of it are not on board it can damage the services more. Thus,implementation and monitoring holds more weight than the quality process itself.

Make it quantitative. Until and unless you measure it you can't improve. So make it measurable, make scoring system for each section and each point.

Establishing a culture of quality is the foundational step in enhancing operational processes. Drawing upon my industry experience, I've implemented agile methodologies to optimize the review process. Introducing regular checkpoints, such as audits and brief meetings, enables timely adjustments by the team. Swift responses to deviations are crucial; a delayed reaction indicates a need for a thorough review of the review process itself.
