How can you tailor emergency management training to fit different audiences?

This principle of assessment of your audience is the key to providing the most appropriate and useful content to the group. I have done this many times whether addressing neighborhood associations, condo managers, civic groups or faith based organizations. Providing information that can be taken back and shared with others pays big dividends in creating a more disaster resilient community.

Risk is risk for all, So right assessment of risk is the prime requirement for making any effective emergency response plans, basic framework should be strong to make realistic ERP.

Context is everything. Knowing who the customer is, where they operate, what they do and what’s important to them is essential. Without context, training may not be relevant, compliant or contributing fully to protecting the organisation, its people and its assets.

To address emergency management training and fit different audiences , the best method is to adopt basic fundamentals of emergency management. These fundamentals are 1. Develop culture of safety and awareness, 2. Develop capacity to understand and identify threats, 3. Impart basics of emergencies like know basic self defence and life saving skills like First Aid , Fire Drill , Swimming , Evacuation drills , earthquake and others hazards Do’s and Don’ts , know Emergency 🆘 Responders numbers , 4. Have personal and family emergency plan and known to each other,5. Locations of safe shelters, 6. What are Contingency plans,7. Emergency Communication plan. At organisational Level, there should be emergency plan, assessment and response system.

I believe the beginning of any training requires having the end (results) in mind. Training civilians or ordinary citizens requires a much different approach from training seasoned first responders. Understanding the roles of different groups in an emergency management situation is best manged using the incident command models, with an eye toward enhancing the skill sets of all groups so that you will end up with a cohesive master group of key people that can make your emergency response scalable. It's not a "one size fits all" challenge. With a solid framework in place, training and practice mixed in and a competent incident command structure in place - successful outcomes are much more likely.

Emergency preparedness can be the difference between life and death. If you want to deliver content, especially to adult learners you have to recognize all of the different ways people learn and go to them instead of expecting them to adapt to the one way you are presenting material. Interactive exercises, drills, presentations, discussions, videos, audio courses all have a place in reaching your audience.

Understanding your audience is important; especially when developing a package that could aid a company’s recovering from or preparing for a disaster. All to often we tend to write plans/processes that are accepted as professional in our security/preparedness world. We forget our jargon and style of writing and preparation will not be understood with the employee population. Follow the KISS principle keep it simple stupid. If you need technical or other requirements in a plan make them footnotes that can be researched. We wrote plans/processes for others to follow so it makes sense to not make them so complicated or “high brow” that nobody can understand them or more importantly read and follow them.

Nowadays, there are a lot of medium to conduct trainings. But you need to better define the approach for an executive, management & employee level. Since they have different perspective & focus about the business, you must be able to identify methods wherein they can relate & include the emergency management initiative in their goals. You must be able to creatively design training appropriate for their knowledge, skills, awareness & understanding. Example: for executive level you must emphasized the business impact of emergency incidents & preventive measures. For management, focus on the operational level approach & for employees to ensure they are safe in the workplace.

To tailor training to different audiences, consider adapting content, pace, and examples to suit their backgrounds and needs. Identify their prior knowledge, adjust complexity, and incorporate diverse learning styles for effective engagement.

No training should ever go by without the opportunity for participants to provide feedback, preferably anonymous to capture honest opinions. Surveys can be created easily, and in a cost-effective way, by using Google or Microsoft Forms. Ask participants open-ended AND pointed questions to evaluate their experiences with the training and always assume that improvements can be made. However, do not automatically change a training because of one, or a few, responses. Carefully evaluate the big picture first.

Feedback gives the trainer an opportunity to improve the content. Allowing feedback will create a friendly environment between the learner and the instructor.

Listening... Sometimes we think that we have all the answers and then we find that the people on the street know something we had not thought about. Having a "hot wash" or an opportunity for all to share insights is a very important part of the training process. Make sure you give the opportunity for everyone to talk... go around the room. Sometimes the quiet ones have the most important perspective.

When it is time to do your presentation, have you completed your pre-scope of the audience to get a feel of what the atmosphere is like in the space. When presenting, look at your audience members and include them in the conversation when you ask questions of them. The mannerisms of people after a long presentation might indicate that you are going to long as well so be aware of time. Feedback will help to develop yourself and your material, and it also can liven up the event if you are reading a uninterested audience, do what you need to do to bring them back.

Feedback can allow you to assess your training, methods and learning styles of your audience. Feedback can start up front, be solicited during an exercise or come at the end. Being able to hear what your audience has to say allows you to tailor the exercise and configure the groups for a successful outcome.

Everyone has the right to learn and have an education and to educate others. In your delivery, please be mindful of and sensitive to the cultural, linguistic, ethnic, religious, gender, age, or other differences among your audience and how they may affect their learning styles, preferences, and expectations. Yes! I took that out of the text, but it is very important to understand and follow. Always strive to create a positive, respectful, and supportive learning environment for your audience.

It is assumed that a good workforce understands how to respect their teammates and acts accordingly in a disaster DEI is not the main focus here; it’s getting a message across on preparedness and how to cope in a disaster. It should be based on the plan and shouldn’t address any personal attributes of those being trained. I can’t see any aspects of race, age, religion, sexual orientation of other DEI items involved in the reaction to getting a facility/company up and running as a result of a crisis. Helping the company team react as on unit with a common goal should not be overshadowed by overemphasis on the aspects of DEI. .

AARs help us to improve. This holds true whether is is after an emergency or after a training session. In addition to the post-training evaluation, solicit input as part of your follow-up.

After Action Reports are an essential piece of any successful training. It is important to review what went well and where improvements need to be made moving forward.

Here's a follow-up plan that includes key steps for post-emergency activities. Coordination with Stakeholders. Recovery Planning. Resource Mobilization. Infrastructure Rehabilitation. Psychosocial Support. Learning and Improvement. Community Engagement. Training and Capacity Building.

Even today working for another agency, the end of course survey, staff review, material revision, always takes place. The participants are given the opportunity to follow up with POC information if they have questions, and many times they do.

Be creative! Many training approaches have been done for years, but are they effective? Be willing to test new training theories, measure them and incorporate those which are successsful into future trainings.

In my experience in a well written Emergency Plan, each emergency procedure clearly specifies that, " In case of XYZ emergency, A. Incident Controller must do........, B. Emergency team A members must do ........., C. All other employees not covered above must do ........," In other words each kind of emergency has different audiences and each audience has different training needs to carry out different tasks to deal with that emergency. There is no such thing as "One size fits all"

Noting interests us more than our own survival. Integrate recent salient events into case studies to help the audience understand the importance of preparedness.

I would start by gathering my audience in a generalized appearance and then listen to the audience by engaging them in common language, a language that everyone can relate to and keeps the audience engaged in the topics that the presentation is about.
