The word retrospective comes from latin and it could be translated as “backwards-look”. And this is, in essence, what it is: looking back, reflecting, communicating about group dynamics, environment and the systems we operate within. Creating this shared awareness is valuable in itself. And one might argue that in the spirit of shared responsibility it might elicit reflections and improvement actions by itself. Nevertheless, retrospective’s practise (as articulated in the Scrum framework) aim to ensure that teams take a clear decision on which improvement they want to introduce in their next working cycle. Jeff Sutherland often tells how his first retrospective artefact was a board with details on the marching performance of his platoon.

In my opinion, retrospectives during sprint planning offer a unique opportunity to celebrate successes and glean valuable insights from failures. By dedicating time to reflect on the completed sprint, we not only acknowledge achievements but also identify areas for improvement. Celebrating success instills a positive team culture, fostering motivation and reinforcing practices that contribute to our triumphs. This forum encourages open communication, allowing each team member to express their thoughts & sentiments regarding the development process Picture it as the team declaring, "Alright, we've completed this phase of the software, let's discuss our achievements, acknowledge areas for enhancement, and outline what adjustments we aim to make in the next iteration. "Essentially, it mirrors a team assimilating insights from their journey to refine their practices for subsequent Sprints/Projects.

Retrospectives are really nothing but experiential learning, collaborative learning and mostly unlearning as well to let go of some outdated and incorrect ways and give room for improvisation. Retrospectives provides a space and time to reflect through means of self directed approach. This is the learning that will go in upcoming sprints.

Retrospectives are important in project management and agile methodologies because they foster continuous improvement, enhance communication within the team, contribute to team building, facilitate learning from past experiences, boost morale by acknowledging achievements, support adaptation to change, ensure alignment with goals, empower team members, mitigate risks, and increase transparency. I think an important point to note is the matter of feeling that other teammates care. The fact that your actions are seen, talked about and thought about openly without the atmosphere of mere blaming, empowers people. This alone even if practiced with mistakes, motivates each member and makes them feel important about what they do.

Identify key metrics for quantitative insights. 12. Communicate expectations clearly. 13. Consider recent team dynamics and challenges.

Request team to list the accomplishments, strengths, weaknesses, shout outs to team members for the iteration. Derive action items based on the discussion to take up further to make amends.

Establish a regular retrospective schedule, usually for the conclusion of each sprint or iteration. 2. Clearly define the retrospective's objectives and make sure everyone on the team is aware of them. 3. Choose a facilitator who possesses open communication skills and is knowledgeable about retrospective techniques. 4. Select a format that works well for you, like "Start, Stop, Continue," "Happy, Sad, Mad," or "Starfish." 5. Assemble tools and materials according to the selected format. 6. Giving time to team members to consider what is good and what we could improve before retros is also important. Reminder and encouragement for the team to give their input (even anonymously when necessary) might be helpful as a start.

Review outcomes &actions from the previous retrospective for continuity &gather insights from team members in advance for comprehensive input. Collect metrics &data contributing to the retrospective discussion&recognize positive contributions and achievements since the last meeting. Evaluate the status of the team backlog and any pending or completed items&check the team's mood to address any underlying concerns or issues. In their landmark book “Agile Retrospectives”, Esther Derby and Diana Larsen, articulate what has become the gold standard for a retrospective agenda: 1) Set the stage: Share the goal and scope of the current retrospective. You might also share the agreements and improvements implemented from previous retrospectives. 2) Gather data: Invite the team to share their input and try to substantiate those points. Perceptions should also be factored in. 3) Generate insights: Try to uncover the root causes and sense make as a group. 4) Decide what to do: you might want to ideate, prioritise and flesh out the selected ideas. 5) Close the retrospective: Document and agree how to follow up. You might also ask participants to evaluate the session.

Some ways to have retrospective planned is: - what we should continue - what we should improve - any ideas/thoughts to consider in subsequent sprints - action items (from last sprints). This point is only for scrum master and product owner. With this, take votes for each item of first 3 point, shared by team in sprint retrospective- the point/item receiving majority votes is implemented in subsequent sprints. In a quarterly basis the team who does the best in a sprint can be rewarded appropriately which will motivate everyone.

PMO has always hard time to run effective retrospective in the most fruitful way. What I believe is the ground rules for these retrospective meetings must be set in the team charter during the initialization of the project. This will keep everyone on same page regarding the acceptance of successes and avoidable for failures. We implemented a 'lessons learnt' library in our PMO that is regularly updated with 'use-cases' of failures, identify the practices and strategies that worked well during the sprint. This has encouraged team members to use it as a reference tool of "what NOT to do" (or) "what to WATCH for" kind of situation. Everyone shares their successful approaches, techniques, or tools that contributed to positive outcomes. This helps reinforce effective practices and encourages their continued use.

The feedbacks shared in the retrospective should be taken positively, professionally and most importantly to keep team growth and productivity in mind. Team should feel heard in the meeting so they can talk freely and without any pressure. This open dialogue contributes to a constructive environment in the team where challenges can be addressed collaboratively, successes celebrated, and actionable improvements are decided for the future sprints.
