This sounds simple, but when people come to us with a problem, they usually express it clearly in the first few meetings. If we solve that pain point, everything else is a bonus; if not, nothing else matters. Designers often focus on what they find interesting, rather than what stakeholders need. To understand stakeholders fully, we must look beyond their words to their actions. For instance, a request for flashy colors may reflect a deeper goal of appealing to younger audiences. In short, listen carefully, identify the main issue, and make solving it the priority.

In my experience, perfectly valid solutions have failed to get support purely because the partner wasn't engaged and the recommendation did not reflect their perspectives or opinions. By engaging stakeholders early, it not only helps to get their support but it provides the additional value of demonstrating the problem solving aspect of the design process and the benefits to be gained by having well rounded designers and design strategists.

It's never too early to involve users. Often there is a lack of use insight at the start. As a result you end up juggling opinions, ideas.and assumptions without any evidence of which is right. Getting feedback is crucial. I live to have regular weekly design meetings. What has been done this week, what are the challenges and get approvals. One of the left overs of waterfall design is that something must be perfect first. It ends up being too many iterations and doesn't move forward quickly enough.

Engaging and involving users is a delicate art. What I found is that more than 80% of participants are actually holding back from giving their opinions and don't think they are important enough. One technique that I found effective for conquering this, was learned management school. Put smaller, related team members together in a room, with a format template for the items they need to talk freely about, such as each explaining their strengths and weaknesses, their backgrounds, and their style of working. The context is not specific to a 'work' problem being solved, so people are open to talk and this builds a strong bonded team that is more in sync and committed to work excitedly towards any goal.

I think the most important thing is to kick off meetings with all disciplines and team leaders of the project to discuss and clarify all the points. Minutes of Meeting must be approved by all project members, and send it to team leaders and seniors. Write a check list of all project items that will be delivered. Following up on a weekly basis or daily basis, related to the project duration. Document meetings, reviews, comments, and evaluation.

Different projects require different approaches. Agile methods may work well for fast-paced projects with diverse user groups, while waterfall methodologies might be suitable for linear projects with well-defined user segments. Accessibility should be embedded throughout the process, not just as an afterthought. Tools like screen readers and web accessibility testing software can help ensure designs are usable for everyone.

The key lies in the mindset and framework, not the tools. You have to keep your eyes on the goal, not just the tools. In my past, I witnessed many projects fail because participants insisted on using what they knew rather than what was needed. This often stemmed from a lack of experience in the field. Failure is a part of the learning process. With hundreds of projects behind me, I acknowledge I still make mistakes. And that's okay, as long as I fail only two or three times in specific topics. We learn from our mistakes.
