How do you regularly update your operational plan?

Updating operation plan is one most difficult task for company’s. This has been the reason corporate divide their plans in short term, medium term and long term goals. To effectively monitor the Operation plans, it needs to be divided into all steps and every steps need to be monitored on regular basis to avoid any divergence.

In Operations, there’s no such thing as an “Annual” plan. At the rate which IT evolves, it will get quickly outdated if you do not regularly revisit. It is therefore crucial to review progress and measurements quarterly. Discuss challenges with stakeholders, take minutes and apply adjustments where needed. Lastly, make sure to involve key players on the field! Get their input and feedback from the trenches. This will inevitably create positive results through increased involvement and commitment.

First of all you need a simple white board at your work in order to document every one of your thoughts and put them on it. Every day you need to see them, update them and discuss them at least for some minutes.

Regularly update your operational plan by conducting periodic reviews, analyzing performance metrics, considering feedback from stakeholders, and adapting strategies to align with changing circumstances or goals.

Yes when you analyze your data you use various tools and methods. One main method I use is by talking to the employees (the ones that are actually out there doing the work), it is amazing what great ideas and useful information you can get from them. An Idea is all you need, that idea might become a set procedure down the road. Of course also analyzing you will need to look over reports, data, charts, etc.. Talk to the customer/employees receiving their feedback. If you see a pattern happening then immediately this will need to be addressed, as if it is a continuous issue, it will become more of a continuous issue.

Besides monitoring the operational plans second most important thing is to keep on analysing the data and the insights the data is providing. Need to be flexible with operational plan with open mind to make the changes which is reflecting as per data. People spend more time on aligning the operational plan and less time in thinking what needs to be changed as per data and insights.

ALWAYS PRIORITIZE! Remember SAFETY is first. Once you have prioritized based on your findings you might need to change up your procedures/processes to achieve success. Main question you should have in the back of your head is 1. Safety 2. Are we making it better for the customer. 3. Do we have to train our employees on the new procedures? 4. If we change procedure what other issues might happen, can we answer to those issues (what to do in certain cases). I can keep going on, but as long as we have the mission (operation), customer, employees, company in mind at all times we can adjust and support everyone with new ideas/actions as long as they are understood and adhered to. Change is inevitable.

Exactly what I want to emphasise in my earlier post. Re- Calibrate, Adjust, Amend, Eliminate, Add - New Actions, New Strategies, new processes, new timeline, new activities, new responsibilities Based on insights, results from data analysis. Making changes as per situation and insights on timely basis is the key.

Once again change is inevitable. Monitor/QC your Operational plan, question yourself as a Leader all the time, ask your stakeholders/customers/employees for feedback. They are the ones that will tell you the truth or at least make you think. Always try to achieve better.

Continuously monitoring and documenting and new small experiments and trials with your team is required. Measure everything is must to make operational plan effective and successful.

Learn from experiences (That can be termed as mistakes) Unlearn. Re- learn - And then implement Learn again and keep moving in this loop.

We all learn from our mistakes (at least I hope you do). As a TRUE Leader you can admit to your failures in front of everyone so they can learn from you. We are only human. (maybe of course somethings keep to yourself). Overall by learning from your mistakes you do not want to repeat them. Identify your best practices/success/improvements. EVERYONE can Improve and learn. Reward your employees, enjoy your customers feedbacks, If you look at it this way your one team - Customers/Employees/Stakeholders

Set a Plan in writing, if it is not documented it did not happen, so have it in writing, where others understand. Receive feedback, constantly review your plan as over time or operational issues arise you will most likely need to update your plan, a plan is not a stationary piece of paper, it is a revolving door.

1.Regular Performance Monitoring: Establish a system for ongoing monitoring of KPIs and milestones outlined in your operational plan. Regularly review and analyze performance data to identify trends, successes, and areas requiring improvement. 2.Feedback Mechanism Implementation: Integrate a feedback mechanism within your operational plan. Use the gathered feedback to assess the effectiveness of the plan, identifying any deviations from the intended outcomes. 3.Adaptive Strategy Sessions: Schedule periodic strategy sessions to assess the current status of the operational plan against the established goals and making strategic adjustments to ensure alignment with evolving objectives and unforeseen challenges.

Communicate adjustments to forecasts and the range or probable scenarios early. The goal of good planning is to minimize surprises.

I would add that one must know the personalities involved before sharing the plan. We may have what we consider the perfect operational plan, but if the people in the room can’t communicate, it will fall in deaf ears.

Use a common operating picture (COP) to share the situation on the ground with everyone involved in the operation. Regularly update the COP as new information comes in. Use a variety of methods to communicate operational progress, such as briefings, reports, maps, or social media. Be transparent about setbacks to build trust and ensure everyone is working towards the same goal.

One other thing is gathering customs feedbacks and incorporating them into operations by way of operations improvement and adjustment. Sometimes all total overhauling of processes.
