For example, if you are using floppy disks, CD-ROMs, or USB drives to store your data, you may risk losing them, damaging them, or exposing them to unauthorized access. Or if you are using software that is no longer supported or updated, you may face bugs, errors, or incompatibility with newer formats or platforms.

What you can do: You can upgrade your tools to more modern and reliable ones, such as cloud-based storage, online databases, or digital notebooks. These tools offer many benefits, such as faster access, automatic backup, encryption, synchronization, and collaboration. If my data organization tools (such as software programs) were not effective or not working for me, I would take a closer look at what my data organization needs are and reassess the fit between my needs and tools. If my needs have grown, then it might be time to change my tools. However, if I were using the tools inefficiently, then it might be time for me to get trained properly in using the tools, especially if I were paying for them. As well, it might be time to reevaluate the available tools/software programs as technology is rapidly evolving (e.g., Gen AI), and better tools - even free ones - might fit better with my needs.

For example, if you are using Excel to store your numerical data, Word to write your reports, and PowerPoint to create your presentations, you may have to manually copy and paste data, format them, and check for consistency. Or if you are using tools that are not compatible with your operating system, browser, or device, you may have to install additional software, use converters, or switch devices.

What you can do: You can use tools that are compatible with each other, or that can easily import and export data in various formats. For example, you can use Google Docs, Sheets, and Slides to create and edit documents, spreadsheets, and presentations online, and share them with others. Or you can use tools that are cross-platform, or that have web-based or mobile versions. For example, you can use Dropbox, Google Drive, or OneDrive to access your files from any device, or Trello, Asana, or Airtable to manage your tasks and projects from any browser or app.

If your data organization tools are not serving your purpose, begin by defining the challenges you have had—either related to compatibility, functionality, or interface. Chase down if such issues can be addressed by updates or training. Otherwise, it is recommended to consider other kinds of instruments both which can suit your needs much better. : Try out new tools including Microsoft Excel, Google Sheets, or Airtable, Notion and similar such tools. I recall selecting Airtable when we were previously using a complex tool and the change was the best decision because of its versatility and simplicity. It is always important to make sure that tools are appropriate to enable them to meet the needs as required.

If you are using tools that are not designed for your specific research needs or goals, you may find them insufficient or unsuitable for your data organization. For example, if you are using a general-purpose tool to organize a complex or large-scale data set, you may find it lacking in features, functionality, or scalability. Or if you are using a tool that is not aligned with your research methodology, discipline, or standards, you may find it inappropriate or irrelevant for your data analysis, interpretation, or presentation.

What you can do: You can use tools that are tailored for your research needs or goals, or that can be customized or adapted to suit them. For example, you can use a specialized tool to organize a specific type of data, such as NVivo, Atlas.ti, or MAXQDA for qualitative data, or SPSS, R, or Stata for quantitative data. Or you can use a tool that is compatible with your research methodology, discipline, or standards, such as QGIS, ArcGIS, or Carto for geospatial data, or LaTeX, Markdown, or HTML for scientific writing.

I think a data professional should inculcate the habit of collaborating with Colleagues: Involve colleagues or team members in the evaluation process to gather diverse perspectives and insights. Collaboration assess the suitability of different tools based on collective needs and preferences. That way, colleagues are more likely to share with updates on tools and etc with you.
