The first step is to See the situation as it exists and accept that there is a problem and the tech limitations. Next, communicate clearly with the client and own your role in the problem. Collaborate or think along with the client to nail down 3 Or max 4 key outcomes that are critical to the client’s business Align your teams as well as the client’s to deliver on these results. Continue to proactively ask “ what else can I/ we do to alleviate the situation for the client. Encourage people to take personal accountability and go above and beyond to meet the agreed critical results This process aligns capabilities, critical outcomes within the available tech and releases creative energy that helps focus on what can be done vs what cannot

Navigating this scenario requires two important preparations - 1. Understanding the root of the expectations, the technology and why limitations exist 2. Clarity on the impact of these requirements on overall business or program goals Most times projects/programs get stuck in these situations not because core goals are at risk but because of peripheral & evolved expectations (100% automation, fool proof process etc). Most times, the actual solution addresses core goals as fitment evaluation is done. Maneuver the focus back to core objectives, resolve objections that aren't goal centric and, dialogue must be based on credibility and mutual trust. It is almost always a combination of these that will help break through barriers.
