You're running out of time for your presentation. How do you choose which parts to keep and which to cut?

Always work on your core five slides, whatever the length of your speaking engagements. These are your key and most important pieces of content to your overall flow. Additionally, always know your Dump slides, which are wonderful to support the core, when it works, but can be selectively dumped if and as needed.

It was the night before the closing argument at 10 PM and I practiced my closing and had a full hour of material I had to cut. I prioritized the most powerful evidence and the very best arguments. I streamlined the second best arguments for the jury. Thank God I timed it because if I hadn’t I would have done it on my feet and it would lose some of its persuasive force. The key is to practice it and that will ensure you make the best judgment of what to keep and maximize the impact of your presentation.

A good public speaker identifies and access his core message that would be of benefit to the audience. Being a good public speaker comes with first of all understanding the kind of audience you are talking to and how core message is going to not just help them remember but also impact them. So if my time is running out I'll definitely focus on accessing the core parts of my speech, quickly but in a detailed manner speak to them about it for impacts so by the time my goes up I must have impacted the required knowledge I needed to in the minds of my audience.

What message do you want ringing in the ears of people, as they leave? That's the priority. What is the message, why is that the message and why should we care?!

On each slide ask yourself: what's the most important thing I want to communicate on this slide? People can only absorb so much, make it easy for them to get your point.

You can always give more information in handouts or full presentation that people can go through on their own if they want. Getting through your most important points is key.

All the points being made in the presentation needs to be prioritized, so it's easier to decide later, which points can be cut. If a ranking of points is not possible, at least the points should be categorized as must-have, nice-to-have and extra.

The slides that have the most impact have little or no text on them - the images provoke emotion. Go with a full-bleed image that conveys your point and be extra-stingy with text..

Visual aids are amazing when driving a point home but too many in one presentation is distracting. If your presentation is an online slide deck, use what is necessary. For example- when talking about leaky gut syndrome, it’s often helpful to have a visual to help people actually understand what is happening inside the body. However, when talking about a heartbeat, most people understand what that is, and do not need a visual.

The slides should be crisp and state the point being made in the easiest way possible. Sometimes instead of cutting number of slides just reducing the content on each slide is a good way to shorten the presentation time, without missing the point.

Telling a good story to start with is likely to capture the audience attention and promote engagement. For me a good visual relating to underlying subjects works well.

Use Venn diagrams to help people understand inclusion and exclusion of information or groups. Try pie charts and bell curve diagrams to isolate key issues. Limit text on slides to no more that four lines, of seven words or less in each line. Try to avoid complicated diagrams, that is diagrams attempting to cover the differences between three concepts. If a photo can be shown of a life safety issue related to your topic, use it instead of words. If a slide has a diagram that covers more than three concepts, discard it. If a slide has more than four lines of text, discard it. If you feel compelled to read from a slide, discard it.

Pick one VERY powerful story or example. Eventually you can say this represents multiple occurrences but you felt it important to demonstrate one particular story that encompasses the issues.

Stories should be short, and message being delivered should be clear. Making stories short and to the point is a good way to reduce presentation time without having to cut points.

Like any joke, to be memorable story it has to have a setting or set up for expectation, complication, and change from the expectation. Like a phrase I heard recently, "It is always darkest before you totally black out."

While the presentation is ongoing, floating a live google form / or utilising the chatbox (virtual meet) with Questions from the participants & letting your team sort those crucial questions in the meantime will help address points objectively in the limited time frame.

Q&A session should be optional and only used if enough time is provided. A better way to keep the audience engaged is to provide them action items to follow up by providing contact information or making them fill out a short form that may subscribe them to your newsletter or follow up session announcements or request for customized workshop where their questions may be answered in detail.

Presenting on stage is an actor performing and I would often ask questions to the investors or banks and welcome the flow as it supports the notion that a company is owned by the shareholders and funded by the banks. There are many fund managers and CEOs who demand that they receive questions in advance. Sometimes a question would be technical and my answer was to meet after the presentation .I would never walk away until all questions had been discussed as without shareholders or banks the company would cease to exist.

I find it crucial to practice delivering the content within the set timeframe. While I rehearse, I pay attention to my pacing and take note of where I can adjust my points if needed. I practice with a timer which can help develop a sense of timing. I have also found it helpful to practice in an environment and set up similar to where I will be presenting.

When I was drafting my first ever conference workshop, I finished my presentation and thought I was set. However, after rehearsing it once with a close mentor of mine, I realized I was NOT ready whatsoever - I stumbled through explaining each slide, and my message was incoherent and unfocused. Together, through much trial and error and excited outbursts of ideas, we crafted the real message I wanted to send, and rearranged the slides accordingly. It taught me that as much as you might think it’s easy to just throw together a slideshow and go from the slides, a presentation’s power comes from its message, and slides should echo that message, not convey it. What matters most is the story you tell and the method of delivery you employ.

Practice. Practice. Practice. From a full run through of your presentation to hitting any parts that you're struggling with, the more you practice, the more relaxed you'll be when it's time to deliver your presentation. I recommend a full run through with two or three audience members when possible. This dry run allows you to get comfortable talking in front of an audience and has the benefit of your audience offering suggestions for improvement and asking questions to help you hone your talking points. Whether you are able to practice with a full dry run or you are practicing in front of the mirror, taking the time to practice will benefit your actual presentation.

Don't over practice (my personal approach). It has to feel natural, and be authentic, so reading from a script is great but takes the life out of the presentation and makes it boring. Best presentations I saw or my own best presentations - we well planned and I knew the topics to speak about, but, it still had a "flow" to it and essentially was effortless. Notice, best speakers dont even have notes and they have fun while doing the presentation, regardless on what topic.

Practice is definitely key. I often find myself realizing that some of the prepared material is too wordy or unnatural and this is a great time to correct that.

WHO you are speaking to is of paramount importance when planning your speech. If you need to reduce it, make sure the parts that relate closest to your audience are still there. Hopefully, they will have found you to be someone who understood them and who helped them solve their issues, or at the least, was supportive!

When you're running out of time, avoid trying to rush through every slide in the last five minutes. Instead, prioritise the slides that have a clear cut message and maintain the flow of your speech. These are often the parts that were most memorable to you during rehearsal!

If time is tight, engage with your audience to get a sense of what they know well that you can skip or condense. Then stick to areas you can provide unique value. It’s ok to skip some background slides but I would hesitate to cut Q&A. That’s the best feedback you’ll get as a speaker to sense if your audience is really responsive to your presentation.

Engage your audience in dialogue and gestures to embed the learning. Neuroscience techniques for getting people to interact with one another for deepening understanding is as old as time. Use of key actions to align with key points can further embed the key messages and watching people re-enact the points while unpacking the learning is a reward in itself. Using a key term or quote that resonates while encompassing the key messages is a powerful tool. Words and actions highlighting key points or concepts is fun. Finally, be comfortable in the knowledge you know your subject. Enjoy the impact you will make in the lives of others who choose to listen to you. We are all on a learning journey. Be the change!
