✨ 𝗥𝗲𝘃𝗲𝗻𝘂𝗲 𝗰𝘆𝗰𝗹𝗲 𝗺𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁 isn’t just about managing revenue to ensure payments come in faster. It’s also about protecting and maintaining the 𝗽𝗿𝗼𝗱𝘂𝗰𝘁𝗶𝗼𝗻 that’s already been scheduled. After all, even the best production efforts can fall short if cancellations disrupt your schedule. 📅❌ Over the years, one common pain point I’ve heard repeatedly is: 👉 𝘏𝘰𝘸 𝘤𝘢𝘯 𝘐 𝘢𝘷𝘰𝘪𝘥 𝘤𝘢𝘯𝘤𝘦𝘭𝘭𝘢𝘵𝘪𝘰𝘯𝘴? The reality is, cancellations can’t be completely avoided. However, with the right strategies, you can significantly minimize their impact and maintain the production you’ve worked hard to schedule. 💪 In this post, I’ll share the first of 𝘁𝗵𝗿𝗲𝗲 𝘀𝗶𝗺𝗽𝗹𝗲 𝘁𝗲𝗰𝗵𝗻𝗶𝗾𝘂𝗲𝘀 to help reduce cancellations. To keep things concise, I’ll focus on 𝗧𝗲𝗰𝗵𝗻𝗶𝗾𝘂𝗲 #𝟭 here and cover the other two in future posts. Stay tuned! 🎯 𝗧𝗲𝗰𝗵𝗻𝗶𝗾𝘂𝗲 #𝟭: 𝗦𝗲𝘁 𝗖𝗹𝗲𝗮𝗿 𝗘𝘅𝗽𝗲𝗰𝘁𝗮𝘁𝗶𝗼𝗻𝘀 𝗮𝘁 𝘁𝗵𝗲 𝗧𝗶𝗺𝗲 𝗼𝗳 𝗦𝗰𝗵𝗲𝗱𝘂𝗹𝗶𝗻𝗴 1️⃣ 𝗟𝗲𝘁 𝗽𝗮𝘁𝗶𝗲𝗻𝘁𝘀 𝗸𝗻𝗼𝘄 𝘁𝗵𝗲𝗶𝗿 𝗮𝗽𝗽𝗼𝗶𝗻𝘁𝗺𝗲𝗻𝘁 𝗶𝘀 𝗰𝗼𝗻𝗳𝗶𝗿𝗺𝗲𝗱: When scheduling a patient’s next appointment—whether it’s next week, next month, or six months out—clearly communicate that the appointment is already confirmed. Let them know the time is specifically reserved for them and the dentist, and no other patients will be scheduled during that slot. 2️⃣ 𝗘𝗻𝗰𝗼𝘂𝗿𝗮𝗴𝗲 𝗽𝗮𝘁𝗶𝗲𝗻𝘁𝘀 𝘁𝗼 𝗮𝗱𝗱 𝘁𝗵𝗲 𝗮𝗽𝗽𝗼𝗶𝗻𝘁𝗺𝗲𝗻𝘁 𝘁𝗼 𝘁𝗵𝗲𝗶𝗿 𝗰𝗮𝗹𝗲𝗻𝗱𝗮𝗿: This helps them avoid forgetting. Reassure them that reminders will be sent closer to the date, but emphasize that the time has already been reserved just for them. 📆 3️⃣ 𝗥𝗲𝘃𝗶𝗲𝘄 𝘆𝗼𝘂𝗿 𝗰𝗮𝗻𝗰𝗲𝗹𝗹𝗮𝘁𝗶𝗼𝗻 𝗽𝗼𝗹𝗶𝗰𝘆: If you don’t have one, create one! Explain the policy in a positive, patient-focused way, highlighting how it’s designed to help them avoid cancellation fees. Be sure they know how to reschedule if their plans change. 4️⃣ 𝗥𝗲𝗶𝗻𝗳𝗼𝗿𝗰𝗲 𝘄𝗶𝘁𝗵 𝗿𝗲𝗺𝗶𝗻𝗱𝗲𝗿𝘀: Let them know about the reminders they’ll receive and gently reiterate that the appointment is confirmed. A friendly, proactive approach can make all the difference! 😊 By setting expectations upfront, you’re not only reinforcing the importance of the patient’s commitment but also taking an active step in maintaining the production you’ve scheduled 𝗮 𝗰𝗼𝗿𝗲 𝗽𝗶𝗹𝗹𝗮𝗿 𝗼𝗳 𝗲𝗳𝗳𝗲𝗰𝘁𝗶𝘃𝗲 𝗥𝗖𝗠. 🏆 💡 Want to learn more? Would you let $100,000 slip through your fingers? 🤔 That’s what poor Revenue Cycle Management (RCM) could be costing your dental practice. 🤯 Poor RCM isn’t just about inefficiency—it’s a silent drain on your business. 🥹 Short-Term Pain: Cash flow issues from delayed claims and incorrectly-billed procedures can force a cash crunch, reliance on loans, and ultimately limit future investments❗ Long-Term Loss: Revenue leakage and higher administrative costs shrink profit margins, while inconsistent cash flow reduces practice valuation 📉 The Bottom Line: Missed revenue today means fewer opportunities for growth tomorrow. 🤷♂️ The good news? Optimized RCM doesn’t just fix the leaks—it builds a foundation for scalable growth! 🥳 Are you ready to take control?

💡 When dealing with insurance companies, remember: Benefits are an estimate, not a guarantee of payment. Communicate total costs clearly, build patient relationships, and offer reassurance on estimate accuracy. This approach fosters smoother payment processes and patient satisfaction. 💰 #DentalRCMAcademy #DentalRCM #RevenueOptimization #dentalbilling #RevenueGrowth #RevenueCycleManagement #Dentists #DentalOwners #dso

"Who cares if it's not sent correctly from the get go, we can always resubmit!" 😲 This mindset can significantly harm your business’s profitability and directly impact your cash flow! 💸 ⬇ INSTEAD, it is crucial to ensure that every member of your team is fully aware of the importance of submitting clean claims right from the START! This involves: * Correct and complete procedure codes ✔ * Comprehensive clinical notes (narratives) ✔ * Complete, correct and legible attachments ✔ By doing so, your office will be able to efficiently collect payments from insurance companies for services provided in a timely manner. ⏳ This will drastically decrease the need for time consuming follow ups and allow you to maximize your resources while increasing your revenue and accelerating your cash flow. 💵 ⬆ #DentalRCMAcademy #DentalRCM #RevenueOptimization #RevenueGrowth #RevenuCycleManagement #Dentists #DentalOwners #dso

I was recently inquired about the "standard" Revenue Cycle Management 💰 structure for DSOs, and I must say it is a quite interesting question, because there is no one-size fits all structure! Some companies may follow a decentralized approach, others a centralized one, and some may even combine both strategies. 🔄 What, in your view, is the most effective structure for DSOs? ✅ #DentalRCM #RevenueGrowth #RevenueOptimization #RevenueCycleManagement #Dentists
