“I want all of my data integrated into a single platform, so I can run analytics without silos.” Makes sense. Who wants to waste time joining data? The ROI is obvious. But what is the end game? Integrated data are more powerful than many analysts realize. Modeling becomes possible. For example, imagine integrated badge and utilization data for 2 buildings. A lower value use is to report building data side-by-side (exhibit left). While these buildings have the same average badge attendance, building 1 has higher utilization which suggests higher efficiency. A higher value use (exhibit right) is to examine their joint properties through statistical modeling: 🤓At low levels of attendance, room demand is considerable. 🤓As daily attendance grows, room demand surges, suggesting a “rush to rooms”. 🤓Building 1 escalates more quickly, suggesting higher degrees of stress. 🤓Room demand levels out with badge attendance ~40%+. This leveling effect is mostly due to the supply of rooms being fixed. (< 100% utilization) 🤓Building 1 is in big trouble. At 20% attendance, the room program is already in deficit. 🤓Building 2 looks much more favorable. If attendance increases, collaborative demand appears to be fulfilled. The lesson here is that there is a value spectrum to integrated data. Make the most of it!

Those in the workplace occupancy measurement business will be very familiar with this chart. The gist is that people, on average, show up in the morning, go out for lunch, and leave in the afternoon. Two common reported metrics are “average occupancy” and “peak occupancy”. I’ve repeatedly found that clients in the workplace decision-making business don’t know what to do with this (and I don’t blame them). The average tells clients that occupancy is above and below it. The peak tells clients what their highest occupancy is. But so what? Excellent question. People don’t experience averages, and they rarely experience peaks. If a client needs to make a decision appropriate for their workplace and their workforce – which is often the point - these exhibits are of limited value. The analyst needs to go behind the numbers, understand the client, develop a diagnostic and make a specific set of recommendations on what a client should do to achieve their objectives. Many clients are relying on their Wi-Fi networks to estimate onsite workspace occupancy. And while it is hard to beat the price of the data (aka free), it’s important to remember that sometimes you get what you pay for. We work very closely with clients and occasionally are asked to test raw Wi-Fi network data for its accuracy as a proxy for onsite occupancy. We’ve found that unique device pings to Wi-Wi networks can be an extremely poor, garbage-in, garbage out metric for occupancy if not treated appropriately The chart below shows that when compared to onsite person counts by human observers, the unique pings were ~25% of actual occupancy. Our advice is that before relying on Wi-Fi data to estimate occupancy, a client should hire a reputable service provider to calibrate the signals to reality. Clients are increasingly (and correctly) paying attention to a key workforce attribute when planning space: team size. This is critical because “teams” – a set of individuals who interact multiple times daily – need to be co-located onsite to be effective. Ideally, a “team area” is right-sized: the supply and variety of spaces are perfectly aligned with the size of the team. But how do planners accommodate the exceptions? Larger teams are more likely to be crammed into too little space and/or team members are split across team areas. This chart shows the negative effects of having a team area program that lacks flexibility. Modular furniture and fixtures – as well as new technologies that automate seat assignments on an as-needed basis - are large steps forward. Now that post-pandemic impacts on office attendance are beginning to settle, we are seeing signals that some companies have cut too much employee workspace. If attendance or headcount grows, these companies are forced to “compress” their workspace by adding more individual seating to the open plan. Our research has shown that compression not only yields a reduction in self-reported individual effectiveness, but also that the relationship is non-linear. As compression increases, self-reported effectiveness decreases at an increasing rate. While there are countless factors which contribute to productivity in the office, none is more discussed than focus efficiency in an open plan environment. When we look across the globe, we find a wide discrepancy in how knowledge workers describe their own focus performance in an open plan. Fundamentals matter. In our experience analyzing workplace performance surveys, there is one user priority that keeps rising to the surface. What matters most to knowledge workers is their workpoint. It's not office aesthetics, onsite baristas, or innovation hubs. It’s where knowledge workers earn their keep – either in the office or at home – in front of a digital interface, aspiring to be productive. Team spaces and hardware functionality are also important. Once upon a time, the primary use of a meeting room was for, well, meetings. No longer. The most likely activity in a multi-capacity room is now a single person on a virtual call (44%). Group work only accounts for 37% of observed room activity. Even companies that claim to be “mostly in office” are finding that single-person virtual work is everywhere onsite. Traditional workplace programming has yet to adapt (who wants a workplace full of booths?). One common insight, even before the hybrid era, is that average occupancy conditions are “low” in percentage terms (spaces occupied / total spaces).
