Client Relationship Manager

Job Responsibilities:


Administration

  • Support our team with new client onboarding, paperwork processing, client log in, and maintenance requests etc.
  • Maintain high levels of communication with team and clients throughout the new account onboarding process and when handling routine account maintenance items.
  • Provide operational and administrative support to team in their daily business practices.
  • Organize, track and lead team projects, seeing them through to successful completion.
  • Own account maintenance for new and existing clients, including collecting client-specific information such as beneficiary and address changes.
  • Run, prepare, and send client statements and reports as needed.
  • Preparation and distribution of ADV, CRS, and Privacy Policy.


Communication/Relations

  • Act as an initial point of contact for screening of client needs.
  • Build client relationships while delivering white-glove customer service.
  • Send clients all necessary supplemental/disclosure paperwork.
  • Take a lead role in strengthening and growing our team’s relationships with clients.
  • Organize team for writing and submission of the quarterly newsletter including interacting with compliance department and print shop. Prepare and send printed and digital newsletters.
  • Prepare, design, and submit monthly digital bulletin.
  • Plan, organize, and own completion of quarterly client education seminars | Zoom and In Person.
  • Function as the client liaison/gatekeeper for all incoming calls.
  • Schedule all planning meetings and financial updates, track in CRM, and confirm upcoming appointments.
  • Annual Planning Meeting Concierge: snacks, drinks, chocolates, coffee, creamer, cleaning supplies, and tissues stocked | plants watered.
  • Prepare and send birthday and anniversary gifts and cards, special day cards and gifts.



Design

  • With the “New Client Experience” in mind, consistently update the website, design elements and photos with originals or purchased content.
  • Brand and design all correspondence including newsletters, winter letters, digital bulletins, new client folders, etc.
  • Annual planning meeting presentation design and slide deck for all clients.



Expectations:


  • Follow through with workflows to completion and double check work for accuracy.
  • Respond to all client requests within one business day.
  • Complete, track, monitor and confirm all pending issues as requested.
  • Utilize the CRM to manage and document all client activity.
  • Process and follow-up on any open items as needed.
  • Contribute to team meetings and events in a positive manner.
  • Follow our team’s core values.
  • Actively support all team efforts, events, and functions. Act as a backup, when necessary, with the best interests of our team always in mind.
  • Other duties and special projects, as assigned



Education/Experience:


  • Bachelor’s degree (Psychology, Education, or Communication preferred)
  • Experience using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Gmail, Drive, Docs, Sheets, Slides)
  • 3-5 years of experience in full-time people-focused roles
  • Experience with Adobe Suite, Canva, or other graphic design software a plus


Compensation:


$80,000-$90,000 annually


Work Schedule:


5 days a week on-site

Monday through Friday, 8:00AM to 4:30PM
