Position Summary

The Executive Assistant will provide administrative support to the CEO and other members of the executive team. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as liaison to the board of directors, the executive team, and other members of the senior management team. The Executive Assistant must be creative and enjoy working in a multi-faceted environment. The ideal individual will have the ability to exercise good judgement in diverse situations with strong written and verbal communications, administrative, and organizational skills, and the ability to maintain balance among multiple priorities.

Responsibilities

  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company
  • Maintain calendar of meetings and prepare and distribute minutes for specific meetings
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of organizational objectives
  • Arrange travel and accommodations for executives and prepare expense reports
  • Screen incoming telephone calls; take and deliver accurate messages
  • Support CEO in the preparation of board meetings, ELT meetings, executive presentations and other offsite events
  • Draft and prepare correspondence for internal announcements, board meetings, and other organizational events
  • Welcome guests by greeting them in person and directing them appropriately
  • Organize complex calendars and schedules, resolving any scheduling issues
  • Complete ad hoc projects as assigned
  • Manage the office environment and order office supplies as needed

Qualifications

  • 5+ years of related experience required working in an executive assistant role supporting C-Level executives
  • Excellent communication and time management skills, ability to meet deadlines
  • Ability to work in a flexible manner with multiple priorities
  • A willingness to undertake other duties as requested
  • Experience in a fast past, ever changing, entrepreneurial environment
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Flexible hours as dictated by the needs of the business for projects and meetings
  • A strong business sense and the ability to decipher priorities and make sound judgment calls when needed
  • Consistently perform duties at the highest possible level
  • Ability to interact with people at all levels in a confident, professional manner

Hourly: $42.50- $47.00
