Job Summary:

Under the supervision of the Quext Chief Executive Officer, the Executive Sales Assistant will support and enable sales strategies, programs, and processes across Quext. This role involves performing administrative tasks and various activities to maximize the effectiveness of sales operations. Additionally, this role provides executive assistant support to the CEO, including managing the CEO’s schedule, handling communications, and managing small projects across the organization. This position requires a combination of customer service, administrative support, and business and sales acumen to help achieve Quext’s sales targets and overall goals.


Key Responsibilities:

Administrative Support:

  • Provide comprehensive administrative support for sales operations and processes.
  • Enter and maintain accurate sales opportunity data in Salesforce. 
  • Prepare and manage correspondence, reports, and documents.
  • Organize and coordinate meetings, conferences, travel arrangements, and appointments.

Sales Support:

  • Assist in the preparation and coordination of sales presentations, proposals, and contracts.
  • Maintain and update customer databases and sales records.
  • Handle inquiries and follow-up with customers on sales-related matters.
  • Process orders, verify details, and ensure timely delivery and invoicing.


Customer Service:

  • Act as a primary point of contact for customers, handling queries and providing information about products and services.
  • Ensure high levels of customer satisfaction through excellent service.
  • Manage customer accounts, including promptly addressing any issues or concerns.

Data Management:

  • Maintain accurate records of sales activities and transactions.
  • Generate sales reports and analytics to support strategic decision-making.
  • Assist in the preparation of sales forecasts and budgets.

Coordination and Communication:

  • Collaborate with other departments to ensure seamless operations and customer satisfaction.
  • Coordinate marketing activities and promotional events to boost sales efforts.
  • Communicate effectively with team members, management, and external stakeholders.

Sales Process Optimization:

  • Identify opportunities to streamline sales processes and improve efficiency.
  • Support the implementation of sales strategies and initiatives.

Executive Assistant Support to the CEO:

  • Manage the CEO’s calendar, schedule, and prepare for meetings and events.
  • Handle communications on behalf of the CEO, responding to inquiries and ensuring timely follow-up.
  • Manage small projects representing the CEO in initiatives across the organization.


Qualifications:

·        Education:

o   Bachelor’s degree in business administration, Marketing, or a related field preferred.

·        Experience:

o   Minimum of 2-3 years of experience in sales administration or a related field.

·        Skills:

o   Detail-oriented with strong organizational and multitasking abilities.

o   Excellent written and verbal communication skills.

o   Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

o   Familiarity with CRM software and sales support tools – Salesforce experience preferred.

o   High attention to detail and accuracy.

o   Ability to work independently and as part of a team.

o   Customer-focused mindset with strong problem-solving skills.
